Job Summary: The Records Management Technician is responsible for researching, adding, updating, editing, and validating data in one or more databases.

Additional Department Summary: The Records Management Analyst is responsible for maintaining a comprehensive management system by performing duties of a technical support nature. Duties may include data input, running custom queries and reports, import/export data from custom software, verification and analysis of data at an advanced level with some variety and complexity. The Records Management Analyst is responsible for adding, updating and correcting the pertinent data constituents of the University into the University Advancement database system (DENNY), based on current policies and procedures. This position researches information and confirms the accuracy of the information being kept on all constituents, including donors, alumni, students, faculty and staff, in a variety of processes and projects in a timely manner. This position requires a deep attention to detail to interpret, validate, correct and update data to be added to the database where appropriate, using a variety of online tools and software to help accomplish this. A high degree of judgment is involved in establishing accuracy of information and correct coding and integration of data.

Processes to update data in Denny include email updates sent from a variety of services, address validation programs, scheduled automated programs, in-office employment update reports, batch processes involving any number of records (graduation, Tide Pride, FATE batches, etc.), the review of donations to the University, online update requests from various colleges across campus, data lists created in Denny and record updates from constituent themselves via telephone calls and email. Other processes could be developed at any time to properly update constituent data.

Required Minimum Qualifications: High school diploma or GED and two (2) years of general office experience to include some work with various software programs; OR Associate's degree or higher and some office experience to include some work with various software programs; OR Bachelor’s degree and some work with various software programs.

Skills and Knowledge: Position specialties include, but are not limited to, understanding and accurately processing biographical updates that include name changes, employment information, address / phone updates, relationships, and level of education, along with the ability to use and comprehend relational databases at a significant level. This position also specializes in the use of various online tools, including Banner (student education and registration database), LexisNexis, Ancestry, various social media including LinkedIn and Facebook, and Excel. Other tools and processes could be added at any time. This position serves the entire university community, as the University Advancement database (DENNY) is used by offices and colleges across the University of Alabama campus.
