This position reports to the Chief Information Officer (CIO), who is responsible for the college’s use of technology and for the Academic and Institutional Technology (AIT) department, managing the administrative support of the department. The responsibilities include handling confidential communication, scheduling for the department, and developing and delivering reports. The position requires interaction with senior administrators, faculty, staff and students, thus strong interpersonal and customer service skills are required. This position is also responsible for effectively managing and coordinating communications for the Academic and Institutional Technology department. This includes communications to internal teams and formulating and coordinating communication with constituents across Wheaton College regarding AIT policies, strategies, plans, initiatives, and resources.

Duties and Responsibilities
  • Communications
  • Develop and maintain policies and procedures for communication to the college community about department projects and events.
  • Develop and promote departmental communication standards that conform to and supplement Marketing Communications brand guidelines.
  • Develop branding and marketing resources that facilitate positive perception of the department.
  • Work with project managers to ensure effective communication is included in project plans. Coordinate the gathering and presentation of information about projects, new services, and service interruptions.
  • Work closely with the AIT Service Desk to ensure the technical support team is aware of and educated about projects, new services, and service interruptions.
  • Provide collaborative leadership in the development and execution of strategies for facilitating and enhancing intra-departmental communication.
  • Provide collaborative leadership for coordinating feedback collection from constituents on the quality and utility of AIT services.
  • Develop or supervise development of varied forms of information presentation including website, email, and print media.
  • Develop metrics to evaluate the success of communication efforts.
  • Edit and send the Wheaton Announcements emails to the Director of Technology Support Services for distribution to campus twice a week.
  • Customer contact and operations interface
  • Respond to customer requests as appropriate, directing them to correct resources or facilitating service. Input client project data as needed. Manage space access (recording studios, conference rooms, etc.) as needed.
  • Act as liaison between the Office of the CIO and other departments on campus to identify challenging issues in business processes and help to create solutions.
  • Staff support
  • Serve as department “hub/go-to person” for the AIT department. All AIT employees know to contact this position as a first stop to finding answers regarding myriad questions about the campus and its processes.
  • Maintain department office supplies, printers, and expendable materials. Coordinate orders for these supplies and materials.
  • Submit Facilities Work Orders on behalf of AIT staff.
  • Coordinate and plan regular AIT All Staff Meetings.
  • Administrative
  • Coordinate the Chief Information Officer’s schedule, coordinating appointments, travel arrangements and department functions.
  • Assist with communication drafts and in preparing reports. Gather information in relation to CIO initiatives.
  • Coordinate Technology Governance initiatives.
  • Act as confidential liaison in support of the CIO and the AIT department.
  • Maintain professional and technical knowledge by attending workshops, reviewing professional publications and personal networking. Contribute to the team effort.

    • Associate or bachelor’s degree in a relevant discipline or equivalent combination of training, education, and experience from which comparable skills can be acquired.
    • Strong computer and office skills suitable to work in a fast paced and dynamic department.
    • Excellent knowledge of Microsoft Office Suite and Outlook scheduling.
    • Ability to learn other software used: 25Live, Banner, Concur, and Studio Suite, etc.
    • Exceptional written and verbal communication skills – including phone and email communication.
    • Ability to adapt to and thrive in an atmosphere of change.
    • Ability to think clearly and communicate effectively during a crisis such as a system outage. Proven ability to manage multiple projects while meeting deadlines 90% of the time.
    • Experience writing for different audiences and communication channels.
    • Demonstrated ability to effectively manage projects, meet deadlines, and work effectively with minimal direct supervision.
    Preferred Qualifications
    • Experience working in Adobe Illustrator and InDesign.
    • Experience in a technology-related field.
    • Two years proven ability to communicate about technical subjects to audiences with varying levels of technical knowledge.
    Physical Requirements
    The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 25 pounds.
