Working Hours:

Working hours for this position consist of no more than 15 hours per week, Monday – Thursday evenings, approximately 4:30PM-8:00PM. Hours are to be agreed upon by both supervisor and employee at the onset of employment and are subject to change with notice based on the needs of the Tutoring Center.

Summary:

Administrative support needed for a high-volume tutoring program, assisting students of all academic levels in various subjects. Administrative professional serves in the role of a receptionist for the in-person and/or virtual tutoring center.

Essential Duties and Responsibilities:
  1. Greet students as they come into the center and checking them in
  2. Manage in-person, virtual, and paper review sessions on behalf of tutors
  3. Answer the phone, respond to voicemails, monitor shared inboxes, and LiveChat, as needed
  4. Perform data entry, prepare reports, and other administrative tasks as needed
  5. Make phone calls, send emails, or other contact requests as needed
  6. Answer questions from students, tutees, tutors, or staff on behalf of the tutoring center
  7. Participate in regular professional development as assigned

Education and/or Experience:

Required:

  • Strong computer skills in Windows and Microsoft Office, including Word, Excel, PowerPoint, and Outlook
  • Experience with Zoom or other web-conferencing platforms, or a willingness to learn

Preferred:

  • Bilingual: English/Spanish
  • Prior front desk / receptionist work experience

[This is not a tutoring position; no previous teaching or tutoring experience is required.]

  • Ability to manage the responsibilities of the position in a timely manner, and be willing to complete additional duties as requested
  • A patient, caring, and friendly personality
  • The ability to maintain confidentiality of tutoring center information and conduct oneself in an ethical, professional manner at all times
  • The ability to maintain an environment that is open, friendly, and respects all tutees as individuals seeking help
Computer Skills:

Adept in Windows and Microsoft Office (including Word, Excel, PowerPoint, and Outlook); Zoom or other web-conferencing platforms or the ability and willingness to learn

Communication Skills:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.

Reasoning Ability:

Ability to apply common sense understanding to carry out simple one or two-step instructions. Ability to deal with standardized situations with only occasional or no

variables.

Mathematical Skills:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand, to sit and to reach with hands and arms.
