Description:

Provides the primary administrative support to the Vice President and Dean of Students and the Associate Vice President and plays a central role in the daily operation of the Division of Student Life.

Responsibilities:

General Duties:  Manage the Dean’s calendars, travel plans; Assess arriving telephone calls, written communication and visitors and determine appropriate steps for resolution; Monitor and answer dosdept@hamilton.edu emails; Prepare and edit correspondence; Schedule Division meetings, Deans Meetings, and Retreats; Work with Associate Dean to process, track, and communicate with students taking medical leaves; Support other office staff members in their absence; Other related duties as assigned.

Support for Student Conduct and Hearing Process- Manage communication (emails, phone calls, messages, and general inquiries) and maintain hearing officer appointments, meetings, reservation, etc.)

Budget:  Reconcile and track monthly budget expenditures; Review monthly Key Bank charges for division administrators

Specific Projects:  Attend monthly Transition team meetings; Attend monthly CIS meeting; Coordinate Pellman Fund communications and logistics; Work with Renyi Endowment Committee members to award grants annually; Assist the Senior Class Speaker Committee with all details concerning the selection process; Maintain Division listservs


Qualifications:

Associates degree and five or more years of experience in an administrative support role, or an equivalent combination of education and experience, is required.

Knowledge, Skills & Abilities:

  • Sound judgment, strong verbal and written communication skills, tact and confidentiality
  • Communicate effectively and confidentially with students, parents, faculty and administrators
  • Ability to handle multiple tasks at once and pay attention to detail
  • Work as part of a team
  • Excellent word-processing skills and experience with multiple software applications, including excel, site manager, Colleague, and Maxient.
