- Manage all aspects of program operations, and initiate projects for entrepreneurship in collaboration with the Jabs Center team
- Manage all aspects of day-to-day operations and initiate projects for the Jake Jabs Center under the direction of the Executive Director and in collaboration with the Jake Jabs Center team. Coordinate operations with other CU Denver Business School departments, campus services, and university administration (e.g., Admissions, Registrar, Bursar, Advising, HR, etc.).
- Manage and coordinate other program employees tasks to ensure the effective operations of the Jake Jabs Center, including all classroom and non-classroom activities. Create, maintain, organize, and secure all files and records related to the Jake Jabs Center program.Oversee and manage the Advisory Council for the Jake Jabs Center, as well as communicate and interact with students, faculty, alumni, and business partners as needed.Serve as the key organizer and logistical coordinator for Jake Jabs Center events, including all room reservations, catering, day-of operations, and other event management, as needed:Initiate and lead new activities and programs, including, but not limited to, scholarship management, student clubs, and extracurriculars (i.e., the Rutt Bridges Venture Fund and summer incubator/accelerator program).
- Participate in and attend conferences related to academic services, entrepreneurship education, and other areas of professional development. Procure and coordinate catering, snacks, and beverages for in-person classes and events.Hire, train, motivate, evaluate, and mentor hourly student assistants, as needed.
- Manage the admissions and enrollment process, including working in Slate and the UCDAccess Student Portal.Manage course listings (descriptions, scheduling, room assignments, and student registration) in CU-SIS and the CU Denver Catalog.Coordinate Canvas courses and faculty access, including onboarding, training, and the coordination of program materials with faculty each term.
- Work with facilities, rooming, and IT staff to support the delivery of in-person, virtual, and hybrid classes, programs, and events. Connect students to post-graduate resources (e.g., writing and career guidance).
- Respond to all student, staff, faculty, and other inquiries in a timely manner to quickly resolve issues and requests as they arise.
- Collaborate with the Executive Director and the Jake Jabs Center team to create, track, and report on annual budget.
- Oversee travel arrangements for faculty, guest lecturers, advisory council members, and other guests of the Jake Jabs Center. Implement vendor contracts, invoicing, and payments via the university accounts payable system.Review and submit accounting transactions, including all program purchases (e.g., P card, travel card).Coordinate procurements for the program, including office supplies, catering, textbooks, and orientation and graduation materials.Maintain supplies, articles, books, computers, software, furniture, copiers, and any other equipment used by the program.
Qualifications
Minimum Qualifications
- Bachelor’s degree in business, finance, management, public administration, or a directly related field from an accredited institution (a master’s degree in a business field would also meet this requirement). Three years of relevant experience in office operations which may include: budgeting, event planning, procurement, advertising, general office administration, and/or customer service.
- Master’s degree in in business, finance, management, public administration, or a directly related field from an accredited institution.Experience with event planning and advising, preferably in a university.Extensive experience managing a program office, including direct responsibility for student and/or academic services functions, or relevant customer service functions.Experience with Slate, student information systems (SIS), PeopleSoft, and Concur/Marketplace (finance and procurement), especially in a higher education setting.
- Ability to communicate effectively, both in writing and orally. Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.Outstanding customer service skills.Demonstrated commitment and leadership ability to advance diversity and inclusion.Ability to work independently and in team settingsProficiency in MS Office 365, including MS Project and other productivity programs. Proficiency in web-based databases to interpret data and trends. Working knowledge of university and business school processes and policies.Must be able to initiate and accomplish goals with a minimum of supervision, and manage an office with a high degree of professionalism. Must be self-motivated, have excellent attention to detail, and be passionate about student success.Must be sensitive to and appreciative of cultural, political, and geographical diversity, be able to work well in a team environment with a wide variety of personalities, and develop and maintain strong interpersonal relationships.Ability to manage complex activities and events to exacting standards.Excellent organizational skills, as well as excellent written and verbal communication skills.
