Departmental Overview

This position serves as the Assistant Facilities Manager for the Goldman School of Public Policy, its faculty, staff, and degree programs. The School currently occupies 5 buildings - expanding to 6 buildings in Fall

2022/Spring 2023 - both on and off-campus, which also serve 10 additional research centers: the Center for Environmental Public Policy, (CEPP) the Center for the Studies of Higher Education (CSHE), the Center on Civility and Democratic Engagement (CCDE), the Food and Labor Research Center (FLRC), the Global Policy Lab (GPL), The Berkeley Institute for the Future of Young Americans (BIFYA), the Center on Security in Politics, The People Lab, The California Policy Lab, The Risk Resilience Research Lab.

The Assistant Facilities Manager will assist in managing space repairs, maintenance and improvement; liaison work with Physical Plant, Capital Projects staff, Fire Marshal, will coordinate office moves and relocations, and coordinate security and key control both metal and electronic. The Assistant Facilities Manager will also collaborate with research center staff on ordering furniture, supplies, and accessories for the centers; rearranging space and floor plans as needed; updating space assignment documents as needed. S/he will coordinate Front Desk operations, act as GSPP's receiving clerk for deliveries, and provide general operational and administrative assistance.

S/he will also enter information into the School's calendaring system, for room use and reservation of special activities and events in the shared and common spaces, and prioritize and approve requests as appropriate. Will also manage requests and prioritize use of GSPP's reserved parking.

Responsibilities
    Works with management to coordinate and manage both small and large space improvement projects with Capital Projects; actively participates on committees and/or meetings concerning improvements to GSPP facilities. Works with onsite contractors and other vendors to coordinate work schedules, facilitate emergency access, and track progress of work. Acts as building coordinator for general maintenance and emergency facility requests -such as overflowing trash receptacles, plumbing problems with GSPP bathroom facilities, or flooded storage rooms due to rain. Serve as a second member of GSPP's emergency/disaster preparedness team for assigned venues, serves as one of the communication liaisons between campus and outside service agencies and GSPP building occupants. Works with Facilities Manager for GSPP to prepare building response plans; coordinates training, education and planning in this area for all building occupants. Maintains and distributes department radios for Emergency Preparedness. Serves as GSPP's "Department Access Key Controller" as defined by the UCPD Access Control Policy, maintaining accurate records of all access control activities, ensuring appropriate authority prior to issuing keys, ordering replacement keys as needed, recovering department keys from departing personnel, reporting any failure to recover access control keys to department management and UCPD, and securely storing unassigned keys in the department's UCPD-approved cabinets. Works with Campus Facilities staff and GSPP leadership to add or revoke Cal1 ID Card numbers for access to general GSPP buildings on campus, as appropriate. Conducts regular periodic rounds to inspect areas for security, fire and accident hazards and takes appropriate action as required, including reporting infractions of fire and building codes, building rules and other building irregularities to management. Work with campus Fire Marshall office for occupancy assessments, and updated signage in campus and/or off-campus leased space. Acts as a representative of GSPP's safety committee, GSPP's emergency committee, and GSPP's ergonomic program. Works with Facilities Manager in implementing and responsibility for departmental compliance with OSHA/EH&S regulations regarding state and organization policies and procedures, such as storage of flammable liquids such as alcohol. Works with Facilities Manager to implement safety and emergency preparedness policies and procedures with staff, including maintaining first aid supplies, fire extinguishers and other safety equipment. Purchases supplies, contacts tradespeople, and supervises small-scale department renovation projects, such as painting, moving, and packing up of offices when staff or faculty resign or retire. Acts as department equipment custodian through the Berkeley Equipment Tracking System(s) and conducts department inventory controls, including processing and maintaining records of equipment maintenance and repair requests. Acts as department representative for department/organization special projects related to department facilities. Coordinates and carries out posting of department signage, displays, and promotional needs, including employment and OSHA notices. Other duties as assigned; may include occasional evening and weekend work.

Required Qualifications
    Working knowledge of practices and procedures relating to facility maintenance, repair, and emergency preparedness. Oral and written communication skills to prepare a variety of correspondence, reports, policies and procedures, and training documents, including communications on. Skills to work under pressure of deadlines in a stressful environment. Active listening, interpersonal communication and problem-solving skills to effectively resolve questions, concerns, issues or problems and ensure cooperative and productive working relationships. Skills to work independently and as part of a team. Working organizational skills to work on multiple projects with competing deadlines, to establish goals and work load priorities, and to meet project deadlines within budget and time constraints.

Education/Training:
    Bachelor's degree in related area and/or equivalent experience/training.

Preferred Qualifications
    Working knowledge of practices and procedures of safety and emergency preparedness.

Salary & Benefits

This is a 100% full-time (40 hrs a week) non-exempt career position, which is paid bi-weekly and eligible for full UC Benefits. Hourly pay for this role is commensurate with experience up to $35.78.
