Administrative SpecialistThe Office of Financial Aid and Scholarships at the University of Tennessee, Knoxville, (UTK) invites applications and nominations for our Administrative Specialist position. The Division

The Enrollment Management (EM) division comprises more than 170 full-time staff who serve our students through the following departments and functions: Undergraduate Admissions, International Recruitment, Transfer Center, One Stop Student Services, Financial Aid and Scholarships, University Registrar, EM Communications, and Research & Analytics. The Office of Enrollment Management is committed to our Vision, Mission and Values. The Position:

Hybrid/remote work schedule with in-person component.

Provide high level service to everyone who contacts the Office of Financial Aid & Scholarships. The specialist is responsible for performing administrative support and related duties for the office, including acting as point-person for office communications, sending communications on behalf of the leadership team, maintaining office calendars, providing project management, and processing mail and faxes. Responsible for maintaining office supply inventory, making purchases, and scheduling meetings/reserving rooms. Coordinates and serves on departmental team for UT safety policies, and serves as the backup supervisor for the office's Federal Work-Study student employees. Processes travel reimbursement, schedules interviews, compiles information for search committees, and acts as initial point of contact for new hires. Ensures new hires are fully equipped and made aware of all office policies, and assists with finalizing on-boarding information as needed. Serves as a backup in the email and phone queues, and for on-boarding Federal Work-Study new hires.

Required Education and Experience:

  • HS Diploma and at least 1-year experience in an office setting.
Preferred Education and Experience:

  • Bachelor's degree preferred.
  • Working knowledge of federal and state financial aid rules and regulations beneficial.
  • Experience in a University environment.
Required Knowledge, Skills, and Abilities:

  • Superior customer service and time management skills and the ability to handle multiple tasks.
  • Strong organizational planning and strategic thinking skills, and ability to independently prioritize workload.
  • Ability to research and analyze information and make appropriate recommendations.
  • Ability to prioritize job tasks under time constraints.
  • Excellent oral communications skills, and ability to write clearly and concisely using effectual writing skills. Sensitive to cultural diversity and ability to communicate and interact effectively with people of all ages and backgrounds.
  • Proven ability to work effectively as a team member.
Preferred Knowledge, Skills, and Abilities:

  • Familiarity with Microsoft Office products (or similar).
  • Ellucian Banner, OnBase, and/or TeamDynamix experience preferred.
