Job Description Summary

This position is responsible for the accuracy & integrity of student academic records, supporting the OUR’s role in the annual curriculum process, and for producing the annual Bulletin.

Job Description

Essential Functions:

Academic records maintenance:

  • Review a portfolio of pending student graduation files for compliance with all graduation requirements each term.
  • Meet with students as needed to confirm graduation plan, answer questions, and resolve issues.
  • Document approved curricular exceptions (degree exceptions, substitutions, waivers, and special program modifications) in Degree Works within the constraints of current degree requirements and academic policy.
  • Ensure all degree requirements have been fulfilled before academic credentials (degrees, majors, minors, concentrations, certificates) are conferred.
  • Document and certify departmental honors.
  • Track and follow-up pending graduation applicants each term.
  • Assist with reviewing and awarding AP/IB, transfer, and study abroad credit, and foreign language exemptions/substitutions.

Curriculum support:

  • Responsible for production and digital publication of the annual Bulletin; ensure timely publication aligned with the annual curriculum process.
  • Coordinate with departments across campus for changes to front matter (university policies & information).
  • Update all faculty-approved curricular changes (new or changed program/degree requirements, new/updated courses, course descriptions, etc.)
  • Update all curricular changes in Banner/ERP; ensuring accuracy of approved changes & effective academic year/term.
  • Coordinate with other OUR staff regarding system and workflow impact of pending/upcoming curricular changes (new programs/department names, etc.)
  • Verify approved curricular changes in DegreeWorks
  • Actively participate in process review and improvement.
  • Provide an annual summary of curricular changes.
  • Other duties as assigned.

Required Education, Knowledge, Skills, Abilities:

  • 0-2 years prior experience in a Registrar’s or Student Service office
  • Bachelor’s degree or equivalent combination of education and experience
  • Strong organizational, time management, and recordkeeping skills
  • Strong interpersonal and communication skills

Preferred Education, Knowledge, Skills, Abilities:

  • Master’s degree or equivalent combination of education and experience
  • Knowledge of and ability to use a student information system (Banner, DegreeWorks)
  • Two years prior experience in a Registrar’s or Student Service office
  • Prior experience with curriculum support
  • Skilled in policy development

Accountabilities:

  • Responsible for own work.
