Director of Data and Records

Job Summary

The Director of Data and Records serves a dual role in providing leadership within the Office of Records and Institutional Research. As the leader of the Office of Records, the administrator serves as Registrar and is responsible for overseeing the academic standards, policies, and regulations of the College. As leader of Institutional Research, the administrator is responsible for overseeing internal and external reporting and data requests, research projects to foster institutional improvement, and oversight of campus survey efforts.

Relying on well-developed analytical, communication, and technology skills, this individual provides strategic leadership and overall management of office operations; serves as primary liaison to certain college-wide committees; implements and interprets academic policies; leads in process evaluation and improvement; and performs other duties as assigned. The Director for Data and Records supervises a team of three employees and is responsible for maintaining a high level of ethical and professional standards, and for developing widespread relationships on campus. This position reports directly to the Provost and Dean of the College and serves as the College’s Chief Data Officer.

Job Duties

College-Wide Responsibilities

Serve as the college’s Chief Data Officer and oversee efforts to verify accuracy of database information.
Provide management and strategic direction of the Office of Records and Institutional Research.
Serve on faculty and college-wide committees as assigned (Academic Council, Advising Council, Enrollment Management Committee).
Coordinate and improve technological and data capabilities with the ITS team including critiquing and testing updates to office procedure and software, as needed.
Serve as functional specialist for any third-party software packages (e.g., reporting, scheduling, degree audit).
Oversee training, reporting, and processes for use of student information systems. This will include creating standardized and ad hoc reports for faculty and staff, coordinating efforts to keep the office web site up to date, improving processes and planning for additional technical services.
Manage and monitor the office budgets.
Other responsibilities as assigned.

Records-Specific Responsibilities

Provide leadership and oversight for the development, implementation, and management of activities and systems related to academic records, student registration, academic advising and scheduling, and the college catalogs.
Oversee the curriculum and academic standards and policies of the College, ensuring that: faculty legislation on curriculum and academic policies and regulations are implemented fairly and in a timely and consistent manner; graduation requirements are interpreted and warranted exceptions are made carefully; and academic regulations are administered intelligently.
Review with Provost and Associate Registrar development of each term’s course offerings, including confirming faculty qualifications and course load, and critiquing departmental submissions regarding student needs, time distribution, and classroom management.
Coordinate exchange programs and other inter-institutional academic relationships, in coordination with the Provost and the Assistant Dean for Student Success.
Set the timetable and communications strategies with the Assistant Dean for Student Success to develop each term’s course offerings, including solicitation, and with the data specialist, data entry and reporting.
Oversee editing and production of the college’s catalogs, in conjunction with the Director of Communications.
Plan improvements in advising materials and communication strategies.
Monitor NCAA academic eligibility in consultation with Athletics Director.

Institutional Research-Specific Responsibilities

Provide leadership and oversight for the collection, analysis, and reporting of internal/external data, including financial, enrollment, performance, retention, and completion data.
Provide leadership and oversight for the creation of institutional reports, such as enrollment, retention, graduation, and the College’s fact book.
Track institutional performance against a wide range of benchmarks.
Work with the Institutional Research Analyst to conduct analyses to support college planning, enrollment management, program review and assessment, summarizing interpretations from data and presenting findings in a coherent, comprehensive format.
Assist in accreditation efforts through data analysis, including editing/writing responses, and project planning for Southern Association for Colleges and Schools (SACSCOC).


Master’s degree or an equivalent mix of education and experience.
Minimum of five years in data management or a related field.
Proven experience in creating queries to gather data. Experience with SQL and/or SAP Business Objects a plus.
Proficiency in Microsoft Office Suite and software to support Registrar functions and Institutional Research functions, such as Ellucian Colleague and statistical analysis software.
Proficiency in data entry standards, data analysis, report design and creation, database use, and process development/evaluation.
Ability to set strategic goals and then develop and execute realistic implementation plans while multitasking and ensuring that all deadlines are met.
Excellent work ethic, critical thinking and problem-solving skills.
Familiarity with standard concepts, practices, and procedures within records and registration offices as well as institutional research offices.
Collaborative and collegial team member who demonstrates a commitment to customer service and communicates clearly with a broad range of stakeholders, including faculty, staff and students.
Work pleasantly and professionally with a wide variety of people and model embracing diversity.

Physical Requirements

Prolonged periods sitting at a desk and working on a computer.
Manual dexterity needed for keyboarding and other repetitive tasks.
Must be able to lift and move up to 15 pounds without assistance.
