Position Summary:

The Administrative Support Supervisor is responsible for supervising the activities of support level personnel within an assigned department or program. This position is governed by state and federal laws and institution policy.

Duties & Responsibilities:

  • Coordinate purchasing for FM
  • Closes work orders daily
  • P-card purchases daily via phone and or internet
  • Process requisitions in FAMIS and Banner daily
  • Monthly P-card log reconciliation 6. Reviews PRQs for accounting and work order accuracy
  • Monitor PO OPEN work bench for Banner/FAMIS invoicing/receipts to complete
  • Answer employee questions about PO status, work orders, etc. regarding orders
  • Review order request and determine if purchase should be done on a purchase order or via p-card
  • Reviews Professional Services contracts yearly for renewal by contacting vendor and FM staff
  • Review recoveries for Warehouse and Business Services and provides a monthly report
  • Monitor Buyer work bench
  • Receive orders in FAMIS and Banner
  • Review NSF accounts monthly and provides a report
  • Research invoices that come from AP without a requisition, make sure the work is complete and secure WO to charge work
  • Enter confirming requisitions for vendor payment
  • Liaison between FM and Procurement Office
  • Reviews POs for completion
  • Liaison between FM and vendors to provide product quality and delivery
  • Process monthly payment for contracts
  • Acquires pricing and bids for purchases
  • Assist with budget analysis for the Skilled Trades, Custodial, Motor Pool and Grounds areas
  • Other duties are assigned

Knowledge/Skills/Abilities:

Knowledge of department operations, policies, and procedures
Knowledge of applicable laws and regulations
Knowledge of computers and software applications
Knowledge of basic accounting principles

Ability to conduct research and perform basic quantitative quality assurance reviews
Ability to resolve operational problems
Ability to research, prepare, and present comprehensive written and oral reports to the supervisor

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance

Minimum Qualifications:

The formal education of a High School Diploma

One (1) year of specialized training in business management, business education, or a related field

Three (3) years of experience in administrative support, including one (1) year in a supervisory or leadership capacity

Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
