ESSENTIAL FUNCTION

The Assistant Director, Financial Aid will possess a strong knowledge of all aspects of financial aid services and provide training and supervision to the Financial Aid team. The Assistant Director will assist with research, interpretation, and implementation of federal and state regulations and lead technical operations; maintaining data integrity of all Financial Aid Student Information Systems records, and process improvements and enhancements utilizing existing applications and software.

RESPONSIBILITIES

1. Trains, supervises, and evaluates Financial Aid team members.

2. Provides departmental training on web-based systems used in the administration of aid from the State of Illinois and the Federal Government including the Illinois GAP System and MyZone; the U.S. Department of Education's COD, NSLDS, SAIG, and CPS; and the Department of Veterans Affairs' VAOnce.

3. Develops and provides training and guidance to Financial Aid Office staff and other college personnel on financial aid processes.

4. Reviews student eligibility, performs federal verification and professional judgments, packages awards, monitors eligibility, and manages correspondence to students based on designated case load. Assists with Special Circumstances and Dependency. Overrides as needed.

5. Audits student files for accuracy and compliance of federal, state, and institutional regulations.

6. Assists the Financial Aid Office in program reconciliations, Return to Title IV Funds calculations, outreach initiatives, loan certifications, Standards of Progress processing, enrollment reporting, veterans' benefits processing, work-study processing, and scholarship initiatives as needed.

7. Participates in ongoing training and professional development activities in order to keep current on federal and state regulations and best practices in financial aid.

8. Provides functional leadership for the Financial Aid Office as liaison with the Information Technology Department in monitoring and integrating the operation and processes of the Financial Aid Module of Colleague and scholarship software.

9. Serves as financial aid process analyst and assists with the design, development, and submission of reports that meet specific financial aid needs including FISAP, Gainful Employment, Net Price Calculator, default management, budgets, enrollment reporting, etc.

10. Tests customizations in the training/test environment in preparation for installation into the production environment of Colleague.

11. Coordinates end user technical/financial aid support for the Financial Aid Office.

12. Designs and creates queries for managing batch processes, identifying audit issues, quality control, Standards of Progress, etc.

13. Assists with the development of published consumer information, departmental forms, and monitors informational materials campus-wide. Assists with the ongoing updates to the departmental policies and procedures manual.

14. Other duties as assigned.

QUALIFICATIONS

EDUCATION

Bachelor's Degree required. Master's Degree in Higher Education, Computer Science, Business, or related field preferred.

EXPERIENCE

Minimum of three years of experience in financial aid; experience supporting a technical system; experience in supervision and training; and experience with Ellucian Colleague a plus.


KNOWLEDGE

Knowledge of federal and state regulations as they relate to financial aid, financial aid software, proficient in reporting platforms, queries, database reporting tools, and other technical functions.

SKILLS

Ability to work effectively with diverse students, faculty, and community members to facilitate funding opportunities for students; ability to train, supervise, and evaluate staff members; a strong detail orientation and organizational skills; effective written and verbal communication skills; the ability to maintain confidentiality; and the ability to lead innovation.
