Sr. HR Coordinator
We are seeking a Senior HR Coordinator who provides advanced human resource coordination and support to the Krieger School of Arts and Sciences and Whiting School of Engineering deans, department chairs, administrators, faculty, staff, and students in the areas of employee engagement and action; Advanced Academic Programs course and development contracts, documentation, payroll, administration, performance; recruitment; data management; and FMLA.

Specific Duties & Responsibilities:

General HR Consultation & Payroll Administration (50%)
  • Provide consultation to faculty, staff, students, and management on HR issues including personnel practices and University policy, employee relations, compensation, training, recruitment, and benefits.
  • Provide advice related to HR programs available with JHU, such as mediation, FASAP, Worklife, etc.
  • Facilitate employee engagement for both KSAS and WSE, through the development of department actions plans based on results from the university wide Gallup Survey.
  • Coordinate with AAP Program Directors (including Osher and Odyssey programs) to complete HR documents for all new faculty; including completion of faculty payment form, I-9 employment authorization, SIS record, creation and issue of JHED ID/email access and hiring new faculty into payroll.
  • Coordinate with AAP Finance and AAP Registration to finalize all contracts and compensation for 400+ faculty each semester.
  • Distribute contracts to all faculty through the CSS, and manage the contract and payment schedule.
  • Initiate all payroll and supplemental payments for AAP full-time and adjunct teaching faculty.
  • Coordinate with AAP Finance and the IRC Director to manage course development processes and issue supplemental payroll payments for approved course completions.
  • Process off-cycle payroll requests.
  • Resolve payroll discrepancies.
  • Assist with staff reclassifications, equity adjustments, and merit increases.
  • Provide onboarding services to new faculty, staff, and postdocs, including I-9's, background checks, JHED ID's, etc.
  • Generate Analysis reports to track information, review salary equity, develop organization charts, etc.
  • Perform JHED administration functions for new hires, contractors and current JHED ID holders
  • Prepare and Initiate all HR/Payroll Internal Service Requests, including, bonus supplements, hiring new employees, salary changes, personal data changes, and position attribute changes
  • Assist with initiating annual merit increases.
  • Coordinate with HR Central, Payroll Shared Services, and the Benefits Office, to act as liaison with all new and existing employees
  • Manage casual employee's timesheets and time entry in CATS

Staff Recruitment (25%)
  • Assist with assessing staffing needs.
  • Develop requisitions in SuccessFactors.
  • Assist in scheduling of interviews.
  • Provide on-boarding services.

Other Duties as Assigned (20%)
  • Provide backup to HR Generalists as needed.
  • Provide backup to Immigration Specialist for visa and work authorizations as needed.
  • Administer faculty Family and Medical Leave.
  • Perform related duties as requested.

Data Management (5%)
  • Establish and maintain individual staff, personnel records.
  • Maintain information for faculty, staff, and postdocs in electronic personnel files.

Minimum Qualifications (Mandatory):
  • Bachelor's Degree.
  • Three years of progressive related experience.
  • Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.*

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.

** Applicants who do not meet the posted requirements but are completing their final academic semester/quarter will be considered eligible for employment and may be asked to provide additional information confirming their academic completion date.

Preferred Qualifications:
  • Experience with electronic data management systems, preferred.
  • Prior JHU experience, or experience in higher education is a plus.
  • Experience with SAP or other enterprise resource software is a plus.

Special Knowledge, Skills & Abilities:
  • Strong working knowledge of employment laws (including FLSA, FMLA) and human resource practices, including recruitment procedures, compensation practices, personnel reporting and record keeping as well as employee relations.
  • Working knowledge of immigration regulations.
  • Strong oral and written communication skills and ability to interact effectively with diverse clientele at all levels of an organization.
  • Demonstrated excellent customer service skills.
  • Ability to work independently and exercise independent judgment, while interacting collaboratively as part of a team.
  • Ability to develop and maintain databases to organize and store information.
  • Ability to maintain a high level of confidentiality and discretion.
  • Ability to manage multiple projects and to prioritize workload.
  • Demonstrated proficiency in windows-based software applications including Microsoft Office; prefer knowledge of SAP.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers.
