Job Description Summary

The Operations Support Coordinator handles a variety of responsibilities to support the overall operations of the Weingarten Center. From providing front desk coverage, greeting visitors and answering the telephone, the Coordinator serves an integral role in providing general information about Weingarten Center services.

The Coordinator interfaces with Disability Services by uploading medical documentation submitted by students and medical care providers through the office’s database. The Coordinator reviews, processes, and monitors financial activities for the Weingarten Center under the supervisor of the Associate Director for Operations. The Coordinator is well-versed in handling student employment and associated payroll issues. The incumbent provides administrative support to the Weingarten Center by monitoring departmental e-mail, managing office supplies and contracts, cross-training fellow Operations staff members, and participating in a variety of Weingarten Center staff meetings. The Coordinator participates in collaborative events to provide administrative support.

Job Description

Duties:

  • Coordinate with Associate Director of Operations to ensure effective administrative infrastructure that supports the overall operations of the Weingarten Center.
  • Overseeing the reception area, answering the department telephone, monitoring the department e-mail, providing general information about Weingarten Center services, handling office supplies (including water supply, coffee, etc.), submitting maintenance requests.
  • Process and approve payroll for student workers and weekly staff. Participate in ongoing training to remain current with Workday and student employment issues.
  • Promote the mission and services of the Weingarten Center as a representative at open houses and assorted university events.
  • Maintain and update content for the digital signage in the Weingarten Center reception area.
  • Maintain, update, and order printed materials, as requested by Weingarten staff.

Qualifications:

Bachelor’s degree required. Minimum of 2-3 years of administrative experience or equivalent combination of education and experience. Ability to work in a fast-paced, collaborative environment. Must have proficiency in using Microsoft platform, including Word, Excel, Powerpoint. Strong customer service. Excellent business writing and proofreading proficiency. Possess a strong commitment to diversity.
