Department

The Department of Student Conduct and Community Standards is a component of the Health, Wellness, and Safety portfolio of the Division of Student Affairs. Our department is responsible for upholding community behavior standards and educating FSU students on how to responsibly engage with the FSU community.

Our department is looking for an Administrative Assistant who will be responsible for providing administrative and staff support for the department.

Responsibilities
  • Manage department communications, including the departmental e-mail, phone line, departmental social media accounts, and departmental websites; routes communication as appropriate; and provide correspondence related to student conduct cases and resolutions on behalf of the office.
  • Provide administrative assistance to the Associate Dean and Director, Assistant Dean, Assistant Directors, and Program Coordinator, including but not limited to: maintaining calendars, scheduling meetings and coordinating departmental obligations to support the Division of Student Affairs and students.
  • Support the creation and distribution of departmental reports, including annual report information. Responsible for maintenance, security, privacy, and communication of student records, including student record/file review requests, tracking outcomes from the student conduct process, and placing holds on behalf of the department.
  • Process incoming reports from FSU, e-mail, law enforcement, and university investigations and create cases with direction from departmental professional staff. Work closely with law enforcement records department on requesting police reports.
  • Recruit, train, and supervise OPS and/or work study student assistants, which includes scheduling, assigning responsibilities and providing performance feedback.
  • Serve as departmental HR Representative, assist the Budget Manager with budget reconciliation and expenditures, and assist with departmental inventory.
Qualifications
  • High school diploma or equivalency and two years of experience; or a combination of post high school education and experience equal to two years.
  • Ability to communicate effectively verbally and in writing.
  • Ability to maintain accurate records and retrieve files from active or archive sources.
  • Knowledge of office practices, procedures, and etiquette.
  • Ability to adhere to the Family Educational Rights and Privacy Act (FERPA) and maintain confidentiality with student educational records.
  • Attention to detail, time management and ability to work independently.
  • Organizational skills and the ability to meet deadlines.
Preferred

Bachelor's degree preferred.
