General Summary

As a member of the ELCAP Department, the Program Assistant position reports to the ELCAP Program Manager. Under general supervision, the Program Assistant provides administrative and program support for the ELCAP Department faculty, staff, and students.

This position is a classified full-time position and is eligible for overtime. This position may be eligible to telework 1 day per week.

SALARY INFORMATION: The above salary range reflects the starting step of Range 35 (Step C) for this classified position and includes a 5% King County compensation provision. As a new employed classified employee, based on annual increments, it will take 5 years to reach Step L on the salary schedule. This does not reflect any contractual changes, legislative mandated salary increases, or Cost of Living Increases (COLA's) that may be approved in the future.

Work Schedule: Monday through Thursday 11 am to 7 pm, Friday 7:30 am to 3:30 pm.

Essential Tasks

Reporting directly to the ELCAP Program Manager, this position will:

• Register and transfer students in ctclink;• WABERS: receive and enter data into WABERS, ensure accuracy of data, train part time staff, and attend regularly required WABERS trainings.
• Prepare material service requests and purchase orders for travel, goods, and services as well as open orders for Bookstore accounts and track usage;
• Provide support to front desk coverage, phone coverage, student reception, and schedule appointments;
• Compose forms, documentation, and materials related to ELCAP and the college;
• Maintain various FERPA sensitive databases and files;
• Support Highline College with state BDEA program requirements;
• Support new student intake;
• Support CASAS testing procedures and policies;
• Create and maintain student records (both physical and digital) and· databases;
• Compile and distribute information relative to program activities to the campus and students;
• Inventory and order office supplies and print orders.

Ability to:
• Understand and implement department policies and procedures;
• Collaborate with other departments at Highline College regarding policies and procedures;
• Maintain budgets, coordinate travel arrangements and order supplies and equipment;
• Maintain department archives and individual student files;
• Ability to work successfully in a diverse, multicultural environment;
• Able to independently manage and prioritize multiple tasks and deadlines;
• Communicate Effectively. (Verbal and Written);
• Maintain confidentiality with sensitive documents, communication, and records ;
• Proficiency with Microsoft Office, Google cloud, and other applications.

Knowledge of:
• College policies and procedures;
• ELCAP Department policies and procedures;
• State Testing Requirements.Qualifications

MINIMUM QUALIFICATIONS:
• Associate degree; AND
• 2 years of full-time experience serving in an administrative assistant or support position.

DESIRED QUALIFICATIONS:
• Bi-lingual;
• Experience in an educational setting.
