Faculty Administrative Assistant

Position Summary

Integral first resource for administrators, faculty, staff members, and outside resources. Provides administrative support to the College of Law faculty; collects, compiles, interprets, processes information and monitors the activities for the College of Law faculty; responsible for drafting, editing, proofreading, and formatting correspondence on behalf of the College of Law faculty.

DUTIES AND RESPONSIBILITIES

1. Providing administrative support for 40+ professors and adjunct faculty. This includes making copies, scanning, and editing documents; preparing class documents, such as class lists, etc.; and, depending on the professor or dean, maintaining calendars; providing administrative support to Reading, Writing, and Analysis faculty; providing administrative support for faculty workshops.

2. Maintaining faculty sites, such as D2L, Zoom; and MSU/MSU Law sites, such as MSU Registrar for book entries and MSU First Assignments for book entries and first assignments.

3. Acting as a liaison to students. Depending on the professor, responsible for document distribution and email communication.

4. Coordinating events, including reserving classrooms, hotel/airfare, and account reimbursements; coordinating with Registrar in exam preparation; coordinating with the Dean’s Suite in syllabi collection; assisting with the Society of American Law Teachers event program; organizing and publishing the Newsletter; planning and executing spring oral arguments and annual advocacy competition.

5. Ordering office supplies, sending/delivering mail, and others.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in a professional office setting, performing secretarial and administrative tasks, including experience with scheduling meetings, data entry, payroll processing, office machines, email and internet usage or in performing tasks related to the area of employment; experience in word processing, spreadsheet, mail merge, database, calendaring, publishing, and/or presentation software; or an equivalent combination of education and experience.
