Position Summary:

Reporting to the Associate Director of HR Operations in the Office of the Vice President for Student Affairs (OVPSA) this position will assist in the processing and maintenance of exempt positions and salaried payroll for OVPSA and DOS units. Human resource functions and payroll support will be a vital role provided by this staff member. This position will also be responsible for initiating financial transactions necessary to support OVPSA and DOS units as necessary in support of the financial director.

· Working knowledge of or ability to develop knowledge about Student Affairs practices and procedures with a complex university system and apply that knowledge correctly. Understanding of confidentiality and ability to exercise discretion. Excellent customer service and interpersonal skills. Dependability and punctuality are emphasized.

· Ability to maintain a high level of professionalism at all times in a dynamic office environment and when communicating with multiple constituencies. Able to handle complaints as well as general inquiries in a professional manner. Ability to multitask in a fast-paced environment.

· Ability to work independently under limited supervision and to be self-motivated. Ability to use independent judgment to process and synthesize information quickly.

· Excellent time management skills and ability to prioritize projects. Strong organizational skills. Understanding of the importance of accuracy in calendar management.

· Excellent written and verbal communication skills and ability to follow written and verbal instructions. Attention to detail and proofreading skills.

· Ability to facilitate cooperation and work well with a diverse staff.

· Experience with UGA OneSource/PeopleSoft, Human Capital Management, UGAJobs and financial systems.

Duties/Responsibilities:

Provide HR processing support for OVPSA & DOS reporting units (50%)Serve as first point of contact for policy and procedure questions for the units that report to OVPSA & DOS regarding exempt positions related to classifications, postings, position descriptions, funding and payroll.

Process exempt position management and payroll duties for OVPSA and DOS units to include performing position evaluations and modifications, postings, fulfill OneUSG Connect roles of Time & Labor approver and system manager for establishing funding, salary changes and redistributions. Analyze payroll reports and monitor compliance of time approvals.

Assist with onboarding/separation tasks as appropriate for exempt positions as indicated on practitioner checklists.

Duties/Responsibilities:

Provide financial processing support and guidance for OVPSA & DOS accounts (40%)

Initiate and/or approve transactions necessary to support fiscal affairs of OVPSA units; prepare GL Journals, UGAF transactions and other UGA financial systems documents as needed. Prepare monthly reports.

Consult supervisor in resolving issues when complex cases arise that deviate from University policy, procedure, and precedent. Review submissions for policy compliance, accuracy and appropriateness.

Responsible for other business functions/processes for OVPSA (10%)Maintain electronic personnel files; manage and perform annual inventory for OVPSA property; serve as telephone representative for OVPSA; serve on campus committees; complete other duties as needed in keeping with the responsibilities of the position; stay current on policies and procedures to provide accurate assistance to Division staff and leadership; maintain most recent training and knowledge in HR and financial systems.
