Job Description Summary
The POD Program Manager provides operational support to Professional and Organizational Development (POD) and High School Programs (HS) within the College of Liberal and Professional Studies (LPS). This position requires an intrapreneurial mindset and works with the team on Business Development and Program Management. The position does not involve direct student admissions/advising.

Reporting to the Associate Director and working collaboratively with the POD and HS team members, this position is responsible for ensuring program operations are consistent with Penn protocols for POD programs' complete lifespan and the creation/approval of assets associated with the program.

Job Description

Overview of LPS The College of Liberal and Professional Studies in the University of Pennsylvania's School of Arts and Sciences is dedicated to extending learning beyond traditional borders and engages a richly diverse population of intellectually capable students at many points in their lives. LPS programs include professional and academic programs (including study abroad and English language programs for international students and professionals), summer sessions, non-credit programs, workshops, and symposia. LPS programs all have a foundation in the arts and sciences. Each year LPS offers 600 credit courses for undergraduate and graduate, degree and non- degree students as well as non-credit courses focused on areas such as personal enrichment, professional development, and English as a second language.

The POD Program Manager provides operational support to Professional and Organizational Development (POD) and High School Programs (HS) within the College of Liberal and Professional Studies (LPS). Duties

This position will manage all aspects of operations: planning and scheduling, arranging for access to University services and facilities, implementing systems to communicate program information, prospect management through Fresh Desk and other admissions activities, client relationship management, business and financial activities, vendor support, and other relevant activities. The candidate maintains strong external partnerships and initiates development of collaborative relationships, especially with Conference Services, the LPS marketing team, and SAS finance. In collaboration with the LPS Marketing staff, s/he administers systems and resources to deliver program information on the website, and other social media. To ensure that POD and High School Programs adhere to the highest standards of excellence, the program manager implements routine program evaluation and assessment of programs using existing Penn systems.

Responsibilities

Program Operations: Manage POD and HS programs' class rosters and logistics. Plan all aspects of events including researching spaces, developing menus, preparing invitations and marketing materials, booking event details, and managing responses. Attend events (sometimes after business hours and on weekends) and complete post event reviews. Collaborate and direct operations with a myriad of stakeholders that include clients, participants, students, administrators, admissions, marketing, business office staff, conference services, and outside vendors. Manage admissions processes and scholarship awards. Oversee the orderly arrival, matriculation, and departure of all participants/students. This includes overseeing the transfer of sensitive financial information to the appropriate finance offices at Penn. Navigate Penn Marketplace and ProCard reconciliation.

Participant/Student Services: Assume responsibility for customer satisfaction by answering inquiries from prospective participants/students and their families through our Freshdesk online system. Maintain a strong understanding of all program offerings and communicate details clearly and efficiently. Answer participant/student inquiries and monitor their progress, and administer surveys to assess their satisfaction. Compile/Visualize student survey data and student feedback for POD presentations. Handle all inquiries in a professional, timely and courteous manner. Maintain accurate databases of participants/students.

Course and Program Events: Execute the planning and implementation of various events designed to support participant/student activities, e.g., orientation, weekend excursions, departure parties, etc. Make sure all swag/gifts for students and staff are ordered and delivered.

Program Development, Marketing, Supervision, and Budgeting: Prepare enrollment and academic achievement reports. Prepare materials for the marketing and recruitment teams, budgeting meetings, data reports, program reconciliation and negotiations with external partners. Supervise work study and/or temp positions hired to provide temporary, seasonal support to programs.

Perform additional duties as assigned.

Qualifications
  • Bachelor's Degree and 2-3 years of experience or equivalent combination of education and experience required. Master's Degree preferred.
  • Superior writing, communication, and interpersonal skills required.
  • Proficiency with website management, as well as various social media platforms required.
  • Experience working in academic administration or a University setting or equivalent preferred.
  • Must pay extremely close attention to detail and have strong organizational skills with the ability to handle multiple tasks simultaneously.
  • Exceptional administrative, planning, organizational, customer service, and project management skills. Proven ability to organize and prioritize multiple projects.
  • Must be comfortable working both independently and as part of a team.
  • Demonstrated ability to work with a diverse constituency, including staff, high school students, parents, faculty, and other community members.
  • Strong computer literacy and presentation skills.
  • Must possess professional maturity.
  • Occasional evening and weekend work.
