Job Description:

Legal Assistant II (LAII) provides administrative and secretarial support to three attorneys in the Office of the General Counsel as well as general administrative support to the office. Regarding substantive attorney work and day-to-day duties for assigned attorneys, the LAII reports to two Senior Counsels and one Assistant Counsel. Regarding administrative and personnel processing matters and overall performance of responsibilities, the LAII also reports to the Executive Assistant and Associate Vice President and Deputy General Counsel (DGC).

Duties and responsibilities of LAII to assigned attorneys include, but are not limited to:

Provides direct secretarial support to three attorneys, including:

  • Scheduling/coordinating meetings, calendaring meetings, managing workflow and timely preparation of materials.
  • Managing and replying appropriately to phone calls, emails and in-person visitors
  • Redlining documents/creating comparison documents
  • Creating/editing/redacting PDFs using Adobe Pro
  • Drafting communications, typing, proofreading, and editing documents, as appropriate
  • Managing CLE credits and licensure on behalf of attorneys
  • Compiling information and preparing charts, graphs, and other summaries
  • Planning, booking, and handling travel authorizations and expense reports for attorneys
  • Using independent judgement to respond to inquiries concerning the status of legal projects and other matters

Provides direct legal administrative support to three attorneys, including:

  • Assisting with the filing and service of court documents
  • Assisting with trial/deposition/arbitration/mediation preparation, including the assembly of exhibits, witness binders and appendices
  • Coordinating the collection, review and production of documents and responding to discovery, informational requests, and subpoenas
  • Calendaring trial/arbitration/mediation deadlines, discovery response deadlines, depositions, etc.
  • Acting as liaison among all parties, including the court/arbitrator or other neutrals, for scheduling and sharing information
  • Organizing and managing documents
  • Managing sensitive and confidential information appropriately

Provides office phone and reception coverage throughout the workday and serves as backup receptionist for the office, including:

  • Greeting guests/clients and independently attend to visitors and callers
  • Answering multi-line phone system, screening calls, and distributing messages in a timely manner
  • Serving as backup person for office webpage updates, supply orders, and asset management tasks
  • Assisting other attorney(s) in the absence of other assistant(s) or during times of heavy workloads
  • Sorting and distributing mail and courier documents

LAII performs other duties and special projects as requested or assigned.

Expected Salary:

$45,000-$55,000

Minimum Requirements:

Bachelor’s degree and three years of relevant experience; or a high school diploma or equivalent and seven years of relevant experience.

Preferred Qualifications:

Excellent verbal and written communication skills.

Extensive experience with MS Office suite and Adobe Pro.

Legal office or project management experience is preferred.

Due to the varied nature of the work required by the LAII, a proven ability to manage competing priorities, deadlines, and a heavy workload is preferred.

LAII should be a self-starter, able to work independently and able to manage sensitive and confidential information appropriately.

It is expected the LAII to exhibit professionalism, discretion and have a spirit of collegiality.
