Job Description
Based on the volume of applications received this recruitment may close at any time. Applicants are encouraged to apply as soon as possible.Position Summary This position will provide various levels of support to the Department Chair, Faculty, Staff, and Students while supporting components of the department's operations. This role is designed to help serve the department as a whole and will need to collaborate with internal and external departments, multiple faculty members, and the administrative assistant team. The candidate for this position must have highly effective organizational skills and acute attention to detail. The candidate must also, be able to receive (or recognize the need to),
  • Plan and complete projects or initiatives in an effective and timely manner.
  • This candidate must complete assignments or projects by deadline dates given.
  • Assisting staff and management with projects and activities.
  • Communicate clearly and effectively, multitask, problem solve. Respond to inquiries and issues.
  • Work independently (but also know when to consult administrative support when things are unclear).
  • The candidate should possess professional collaboration skills executed through proactive communication, understanding of procedures and regulations, with the ability to see all the details while maintaining the big picture in support of the department's mission and goals.
  • Public/customer relations including explaining detailed policies, regulations and requirements.
  • Ability to check and answer multiple email accounts daily
  • Respond to emails from the department chair, dean, faculty, staff, students, and the public.
  • Answer multiple phone lines.
  • Candidate must have knowledge of Peoplesoft, all of MS software applications, Workday, and Adobe PDF's.
  • Candidate needs to know how to use a Xerox machine, and a scanner.
  • Maintenance of complex records and files.
  • Preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms.
  • Attending meeting on campus and off campus.
  • Travel from campus to campus or other venues as needed.
  • Attend adjunct meetings that are held at night that occurs one time in the Fall semester and one time in the Spring semester.
  • Work overtime as needed to attend meeting or complete projects for the department.
  • Work on campus or remote as needed by the school or the department.
  • Be able to lift 20 pounds.
  • Maintain and all book adoptions for the department.
  • Ability to sit for long periods of time.
  • Ability to walk from one end of the campus to another to set up meetings in other locations other than the department.
  • Must be willing and able to lift up to 50 pound boxes, books or supplies..
  • And any other duties that are assigned to them.
Other Associated Factors:
  • 1 year of working in a front office area.
  • Ability to work on campus or remotely.
  • Provide administrative support to the Department Chair, Administrative Assistants, Faculty, and Students.
  • Help maintain department files and records.
  • Ability to answer multiple phone lines to assist callers.
  • Ability to check and answer multiple email accounts daily
  • General office duties.
  • This position requires work schedule Monday - Friday 8 a.m. to 5 p.m. wither working on campus or working remotely.
  • Ability to travel to other campuses or locations to provide administrative support when required.
  • Proficient in MS Word/Excel/Outlook, and Adobe for PDF files, Peoplesoft, and Workday.
  • Assist with book adoptions
  • Assist with lifting prerequisites for Business, Law, Management, Marketing, and Real Estate students.
  • Research budgetary items.
  • Assist with setting/take down of meetings in other areas of the college or at a different venue.
  • Assist with submitting work tickets with OTS, Facilities Department, or the Print Shop.
  • And any other duties that are assigned by Department Chair or Administrative Assistant IV.
REQUIRED QUALIFICATIONS:
  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.
Starting SalaryGrade 27, Step 1 - $36,790.56Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
