What we do:

Buildings & Grounds Maintenance (BGM) is responsible for maintaining the academic buildings and grounds of the Stanford campus. This is where you come in.

Who you are:

You are a detail focused and inquisitive professional. You take initiative and come up with suggestions for process improvements. Your communication skills are top notch, whether it is on paper, email or in person, your interactions with internal and external clients leaves a positive impression. You require little to no supervision in your daily work. You utilize your advanced excel skills to manipulate and report complex data. You have experience developing new tools to assist with data collection and analysis. You have a basic knowledge in one or more of the following trades: HVAC, plumbing, electrical, horticulture, or carpentry. Experience in contracted maintenance coordination and oversight.

Job Purpose:

Stanford Campus requires Preventive Maintenance (PM) and service to over 300 buildings on campus, with over 50,000 assets which include vacuum pumps, air compressors, backflow preventer, generators, vehicles, automatic doors, trees (yes, trees are part of our assets too!) Maintaining these assets require a strategic, planned maintenance schedule to ensure the buildings operates at an optimal performance level. A working building supports the amazing teaching and research that Stanford is known for.

The Preventive Maintenance Program Analyst is responsible for the planning and coordination of the preventive maintenance schedules for mechanical, plumbing, electrical, HVAC, grounds, garage, architectural and building trades under direct supervision of the PM Program Manager (CA Licensed Mechanical Engineer). The Program Analyst utilizes eAM (enterprise asset management) a maintenance management system and project planning software for the implementation of strategic and tactical planning for the maintenance program schedules.

Your Primary Responsibilities**:

• Data analysis using Excel skills, using Pivot table and VLOOKUP and other advanced excel functions.
• Proficient knowledge of Word
• Maintain entries into eAM to update asset inventory.
• Provide technical review of building plans and specifications to identify deficiencies in design and provide suggestions to ensure the designed systems meet Stanford design requirements.
• Create excel reports from eAM and use data analysis to identify trends.
• Using your data analysis skills, identify opportunities for process improvement, for example identifying trends in maintenance work that can be optimized to reduce travel time and redundancy.
• Based on the assigned critical levels, or industry standards, determine PM scope of work, schedule, and priorities.
• Assist with on-site contracted work and provide quality assurance and document possible deficiencies related to execution or equipment.
• Work in the field reviewing contractor work, problem solve system issues with technicians, design engineers, and other consultants.
• Provide on-site support and oversight of contracted services related to Mechanical, Electrical, Plumbing systems.
• Review vendor labor, including reactive work, and ensure that the scope of work is executed properly and completely.
• Review technical reports to ensure the MEP systems are functioning properly.
• Use trade knowledge to respond to issues related to vendor maintained systems to correctly identify issues and mitigate risk based on field conditions.
• Provide routine analyses, evaluating program performance and recommend improvements.
• Familiarity with Building Management System (BMS) trend analysis to identify operational deficiencies
• Forecast expected labor from contracted service providers for financial planning.

• 24/7 availability for emergency response support, as needed

CORE DUTIES:

• Perform engineering work, such as preparation of schematics, drawings, and specifications.
• Develop, document, monitor, and analyze new and existing initiatives.
• Prepare technical plans and reviews.
• Assist with permitting and inspection activities (e.g., agency coordination, permit applications).
• Assist with project activities (e.g., coordinate with technical team members, review internal draft materials prepared by others to ensure quality and consistency, track project status, handle internal and client communications).
• Assist project planners with site analysis and proposal recommendations.
• Advise on feasibility and costs, working with outside contractors, public utility contacts, Stanford utilities groups, and Stanford user groups.

**Additional duties as applicable to the role

Required:

• 1 year + with asset management system / work order system.
• Excel skills - advance level functions, including pivot tables, vlookup, base knowledge of formulas

Not necessary but bonus for us if you have:

• Science, Engineering or Math degree
• Engineer-in-training certification or eligibility
