University Major Gifts, a department within the Office of Development, is seeking a development coordinator to support two programs integral to the undergraduate experience. The Stanford Parent and Family Engagement program's mission is to reach, involve and support parents and families through programming and volunteer activities.These activities include fundraising via direct mail, calling programs, cultivation events and one-on-one donor solicitation. The Undergraduate Education initiative oversees the planning and fundraising for all aspects of the Stanford undergraduate experience. This includes working closely with university partners across campus, including the offices of the Vice Provost for Undergraduate Education and the Vice Provost for Student Affairs, the Financial Aid Office, and the academic schools that confer undergraduate degrees.

The development coordinator will report to the assistant director, Stanford Parent and Family Engagement, and will collaborate closely with the director and associate director of Development, Parent and Family Engagement; and with the executive and associate directors of Development, Undergraduate Education to fulfill the duties associated with providing support to both programs.

JOB PURPOSE:

Staff in these programs collaborate and partner with their colleagues in the schools and units, Principal Gifts, and Class Giving to coordinate activity with donors and potential donors.

Development Coordinators (DC) provide administrative and routine support to fundraising programs and activities and to assist in establishing and maintaining relationships with all university constituencies.

CORE DUTIES:

Administrative Management
  • Calendar Management - Plan and schedule meetings (internal and external) for directors and resolve calendar conflicts with limited consultation. This includes scheduling large scale internal meetings across multiple departments on campus.
  • Coordinate mailings to prospective and established donors and volunteers.
  • Process reimbursements for field staff and help track budget(s).
  • Maintain inventory of office supplies as needed.
  • Organize electronic file management for gift officers.
  • Assist in the production of fundraising materials. Examples include correspondence, white papers, website content, and stewardship letters.
  • Build a network of relevant contacts, and stay informed of current university initiatives and activities.
  • Track on key dates across the organization and institution.


Prospect/Donor Data Management and Tracking
  • Retrieve information about prospects and donors, update records, and generate simple reports using the university external relations database.
  • Help maintain accurate records for donors in PostGrads and CARD by updating contact information as needed, and entering event and volunteer activity. This includes recording attendance, biographies and briefings, and minor correspondence (for example, gift thank you notes, event follow-up emails, campaign outreach notes).
  • Assist in building exclusion lists of parent prospects during the admissions cycles.
  • Gift processing and tracking. Review and track funds and report on use of gifts, as assigned.


Event and Volunteer Board Support
  • Support in the planning, coordination, and execution of events (in person and virtual) and lead volunteer meetings. This includes scheduling planning and prep meetings, tracking RSVPs, booking conference rooms, catering and restaurant reservations, parking reservations, and on-site support such as attendee check-ins, directions, and equipment set-up.
  • Additional support may include: taking notes and tracking high-level action items and agreements, scheduling meetings with faculty, adding key deliverable dates to the gift officer's calendar, scheduling event prep and debrief meetings.
  • Prepare background information for key meetings and events; prepare briefings for leadership.

To be successful in this position, you will bring:
  • Bachelor's degree and one year of relevant experience or combination of education and relevant experience.
  • Demonstrated ability with Microsoft Office suite.
  • Knowledge of database systems, such as Microsoft Access.
  • Ability to work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals.
  • Excellent interpersonal skills and ability to interact with a wide range of people.
  • Outstanding communication skills and exceptional attention to detail and follow-through.
  • A strong desire to work in a development environment and a willingness to learn about the Development Life Cycle (prospect identification—research—cultivation—solicitation—stewardship).

PHYSICAL REQUIREMENTS*:
  • Frequently perform desk-based computer tasks, sit, and use a telephone, stand/walk.
  • Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.
  • Ability to obtain and maintain a California Non-commercial Class license.


WORKING CONDITIONS:
  • May require working flexible hours, including nights and weekends.
