Position Summary

The Temporary OLLI at DU Boulder Site Program Assistant (SPA) will work closely with, and will report to, the OLLI Site Manager. The Assistant may, on occasion, be required to stand in for the Site Manager, when the latter is absent.

This is a non-benefited position not to exceed 1,000 hours in a calendar year.

Essential Functions

Clerical Responsibilities

Each Term:

  • Assist Site Manager with multiple tasks to launch and administer each 8-week term
  • Assist in the creation of course catalog
  • Assist with putting together new member packets
  • Create name tags for in-person course members
  • Send list of names of new members to OLLI at DU operations assistant for DU member card order
  • Create class lists for online and in-person courses (using Excel)
  • Send end-of-term thank you emails to facilitators and class assistants
  • Prepare and distribute online course evaluations, reports, and results
  • Maintain a list of suggested facilitators and suggested classes (from class evaluation forms) – submit to appropriate Curriculum Subcommittee chairperson

Ongoing:

  • Assist in production of regular communications via Constant Contact
  • Acknowledge by letter (over Manager’s signature) all donations – annual appeal, memorials, other
  • Maintain Site website in alignment with OLLI at DU format
  • Maintain facilitator points spreadsheet – coordinate with OLLI at DU clerical assistant regarding facilitators from other sites and/or facilitators facilitating at other sites
  • Maintain OLLI Boulder member database/spreadsheet
  • Maintain OLLI Boulder volunteer database/spreadsheet
  • Maintain OLLI Boulder distribution lists and member information in Constant Contact
  • Participate in one OLLI at DU-wide committee of choice
  • Diversity
  • Member Engagement (benefits, social events, extended learning opportunities)
  • Marketing, Communication, and Development

Member-Engagement Responsibilities

  • Serve as host/hostess for OLLI members along with the Site Manager at in-person or online events
  • Support facilitators as Zoom Staff Host to assigned OLLI at DU courses
  • Greet members prior to class – either in person or online
  • Greet facilitators – Assist A/V Tech, as needed, to ensure equipment (TV, DVD player, etc., if in-person course) is in working order
  • Answer questions
  • Assist Site Manager as liaison between host facility and OLLI members and facilitators
  • Provide general oversight for members and facilitators
  • Assist members with the course registration process
  • Assist with site events (receptions, open houses, facilitator recognition)

Meeting Responsibilities

  • Attend OLLI at DU staff meetings
  • Attend Curriculum Committee meetings
  • Attend selected OLLI at DU committee meetings (Diversity or Member Engagement or Marketing, Communication and Development)
  • Take and distribute minutes for the Curriculum Committee meetings
  • Assist with facilitator training meetings each term

Participate in the following workshops to enhance skills

  • Constant Contact (email)
  • Website (primarily content updates)
  • Qualtrics (evaluation preparation and reports)

Required Qualifications

  • Home office (need your own computer and [preferably] color printer)
  • Personable, ability to interact well with variety of people, able to anticipate needs
  • Organized – able to juggle multiple priorities successfully
  • Be available onsite the first week of classes and as needed
  • Good written and verbal communications skills
  • Computer skills
  • Ability to learn and use several web-based applications
  • Proficient with Microsoft Word and Excel

Preferred Qualifications 

  • Have advanced computer skills
  • Have some A/V experience
  • Experience with Adobe products (DC, Photoshop, Illustrator or InDesign)
  • Experience with Office 365
  • Prior experience in adult education

Work Environment 

  • This part-time position of 750 hours per year has a flexible schedule as the duties dictate. 
  • There is not a designated office for staff.  The primary class site is Boulder, Colorado.

Hourly Range

The hourly rate for this position is $21.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
