Job Description:


Mills College is seeking an administrative assistant to provide in-person clerical support to the faculty and staff in the School of Education. This position is temporary, beginning immediately. The position works closely within the School of Education Administration Team which consists of the Assistant Dean of Special Projects, Director of Administration, Outreach, Partnerships, and School Communications specialist, the Academic Coordinator, and reports directly to the Assistant Dean of Special Projects.

Representative Duties:

Under the supervision of the Assistant Dean of Special Projects of the School of Education the temporary administrative assistant will be responsible for the following:


  • Provides clerical support for the School of Education's day-to-day operations.
  • Manages document routing queue and processes between the SOE and external Mills Offices (Financial Aid, Registrar, Provost, etc.) and monitors and tracks incoming and outgoing correspondence.
  • Manages and facilitates general correspondence with the School of Education, including checking and forwarding messages from the general school email, phone, mail, and packages as well walk-in traffic to the School of Education.
  • Provides initial support to resolve issues when possible; and/or refers contacts to the Administrative Specialist.
  • Manages room scheduling, reserves technology for instructional and special programming in the SOE, and facilitates technical support, including being present in the office for diagnostic and repair appointments.
  • Submits and manages requests to facilities and campus security.
  • Ensures the SOE office supplies are well-stocked, including submitting campus paper and mail and copy orders.
  • Additional duties may be assigned.

Knowledge, Skills & Abilities


  • Proficiency in Google Suite and Microsoft Office Suite required. Strong verbal, written, and interpersonal communication skills.
  • Demonstrated ability to handle sensitive issues and maintain confidentiality. Ability to learn quickly, work independently, and ask for help when needed.
  • Ability to lift up to 25 lbs.
  • The work requires prolonged periods of time sitting at a computer workstation.

Education and Training


  • BA or BS preferred. AA with some office experience.
  • At least 2-5 years of experience working in a clerical position, college, and/or university experience preferred.
