The University of Lynchburg, a private regional university, located in the beautiful foothills of the Blue Ridge Mountains in central Virginia is seeking a full time Assistant Director for Housing Operations to join our Housing and Residence Life team. 

 

The Assistant Director for Housing Operations reports to, is supervised by, and evaluated by the Director of Housing and Residence Life. The evaluation of work performance will be ongoing and will be carried out by the Director for Housing Operations. It will include the specific duties and responsibilities of this position description plus employee attitude and general working behavior.

Purpose: The Assistant Director for Housing Operations is responsible for managing all housing processes and coordinates all facilities management functions for undergraduate and graduate housing. The Assistant Director for Housing Operations will assist in providing active living-learning opportunities in the University’s varied on-campus residential facilities; facilitating intentional engagement within the institution and the broader Lynchburg community; and upholding of community expectations through personal accountability, conflict resolution, and reparation of harm to the community to provide a transformative four-year residential experience.

 

  

 

Specific Job Duties:

 

  • Directly supervise, train, and evaluate 1 Graduate Assistant (conduct one-on-one meetings every week; hold staff accountable for job responsibilities and conduct).

     

    Participate in a weekly one-on-one meeting with the Director of Housing and Residence Life to report on progress, goals, and updates.

     

    Attend and actively participate in weekly  Housing and Residence Life Leadership Team meetings as well as all other mandatory staff and committee meetings.

     

    Manage the day-to-day administration of housing assignments, including room change and consolidation processes. 

     

    Oversee graduate housing processes, to include creation and management of leases, approval, and communication with students. 

     

    Continuously evaluate and assess University housing occupancy, retention, and projection trends.

     

    Coordinate the housing sign-up process for returning students and the placement of incoming students in undergraduate residential facilities.

     

    Responsible for creating, editing, and proofreading departmental communications, publications, and outreach materials.

     

    Responsible for the coordination of technological solutions as they relate to the assignments process, as well as providing reports, analysis, and recommendations pertaining to projections, occupancy, growth needs, and future living configurations.

     

    Administer critical processes, including electronic room condition reports (RCRs), move-in/out inspections, damage billing, and health & safety walkthroughs.

     

    Coordinate facilities management processes, which includes work order and damage report follow-ups and key assignments. 

     

    Maintain an awareness of student and staff concerns through formal contacts (i.e. office hours, appointments) and informal interactions.

     

    Train the Housing and Residence Life staff on use of housing software to effectively complete room condition reports and health & safety walkthroughs.

     

    In collaboration with the Director of Housing and Residence Life and the Office for Community Expectations and Restorative Practices, effectively train housing staff on effective alternative dispute resolution techniques.

     

    Actively engage with the Director for the Center for Community Engagement (CCE) and the Assistant Director for Community Engagement (HRL) to plan and implement engagement opportunities for residential students.

     

    Assess students’ needs to develop programs and initiatives to increase student retention and persistence.

     

    Develop and initiate damage campaigns to assist in the reduction of damages and maintenance of facilities.

     

    Provide oversight to Housing and Residence Life social media accounts. 

     

    Regularly engage the Residential Student Organization and undergraduate student population to solicit feedback on the University housing experience.

     

    Serve as a liaison between Housing and Residence Life and Physical Plant to assist with all room and/or building concerns.

     

    Coordinate weekly walkthroughs of residential areas with respective Community Coordinators and/or Area Coordinators to assess conditions of facilities, track damages, and follow up with work orders. 

     

    Coordinate residential closings for University  breaks, including establishing closing expectations, reviewing and approving  late stay requests,  and billing.

     

    Coordinate the Summer School housing assignments process and billing. 

     

    Lead and participate in departmental, divisional, and institutional opportunities, committees, and task forces that strive to improve the student and campus experience.

     

    Actively participate in professional development opportunities and share insights and learning to inform residence life educational practice.

     

    Assist in the Housing and Residence Life staff recruitment, interview, and selection process.

     

    Perform other special tasks, projects, and duties as assigned.

Schedule:

 

  • 8:30 am - 5:00 pm (7.5 hours/day). Exempt status. Some non-traditional hours may be required.

     

 

Experience/Skills:

 

  • Demonstrated knowledge of residential life policies and procedures, student development theory, as well as best practices and trends in the field. 

     

    Demonstrated exceptional interpersonal skills, presentation, and facilitation skills, as well as verbal and non-verbal communication skills, to communicate with multiple and diverse populations. 

     

    Strong supervisory skills.

     

    Commitment to creating communities where residents feel a deep sense of belonging.

     

    Experience leading and modeling practices that foster equity and inclusion in a diverse community of residents, student staff, and professional staff.

     

 

Physical Demands:

 

  • Prolonged periods sitting at a desk and working on a computer.

     

    Must be able to lift up to 30 lbs.

     

 

Required Qualifications:

 

  • Minimum two years professional experience (post graduate) in residence life. 

     

 

Preferred qualifications:

 

  • Related experience in the areas of community engagement and student conduct/restorative practices.

     

    Experience with Adirondack and Maxient Software strongly preferred.

     

 

Education: 

 

  • Master’s Degree required in Student Affairs, Higher Education, or related field.
