Position Overview & Responsibilities

The Graduate Program Coordinator in the Winston School of Education & Social Policy (WSESP) is the administrative and operational lead for graduate program management across all WSESP graduate programs.

  • Produce and distribute materials to new graduate students upon deposit; including a welcome letter from the program director/chair, program chart, and/or additional materials. Collaborate with graduate admissions to troubleshoot the onboarding of new graduate students.
  • Assist graduate program directors with on-boarding and enrollment of graduate fellows, including appropriate coding, site tracking information, and external billing.
  • Create and maintain graduate student files for faculty advisors.
  • Maintain graduate enrollment tracking each term, and assist with confirmation of degree candidates 3x per year (spring, summer, fall).
  • Work collaboratively with the PASS Office on matters related to graduate student services, including but not limited to, assisting students with curriculum planning, answering their questions around course selection and registration, clearing students for registration, coordinating with the Registrar’s office around add/drop and other issues as they arise.
  • Work collaboratively with the Graduate Student Office and Academic Success office to promote campus-wide programming, initiatives, and opportunities to graduate students.
  • Participate in campus-wide committee(s) related to the graduate student community.
  • Represent WSESP graduate programs at open houses and information sessions, as needed.
  • Produce and distribute graduate course vouchers 2x per year (fall and spring), including coordinating the redemption of vouchers with the student, registrar’s office, and bursar’s office.
  • Assist graduate faculty with event planning and support for orientation, professional development, or other student-focused activities.
  • Support graduate marketing, as needed.
  • Assist with special projects, as needed.

The position requires the individual to work independently with minimal supervision and to work effectively as part of a team. The candidate must have outstanding organizational and analytical skills and meticulous attention to detail; an ability to communicate effectively and professionally both in writing and verbally; demonstrated initiative and willingness to continuously develop new skills; and an ability to work with multiple constituents and manage competing priorities, meet deadlines and follow through on projects. The position requires a strong customer service orientation, good judgment, and flexibility. The ability to handle confidential material with tact and discretion is essential.

Qualifications:

  • Bachelor’s degree required; Master’s degree preferred.
  • Experience in higher education preferred.
  • Strong communication skills.
  • Demonstrated commitment to Diversity, Equity, and Inclusion and the ability to support a diverse student body, including students from historically underrepresented and underserved groups.
  • Ability to juggle multiple tasks and manage a variety of projects simultaneously.
  • Proficiency with Google Suite; Microsoft Word, Excel, and PowerPoint required; database management experience is desirable.
