JOB TITLE: Event and Enrollment Coordinator

FLSA STATUS:  Salaried, exempt

DEPARTMENT: Enrollment Management & Marketing

REPORTS TO: Executive Director of Graduate Enrollment

JOB STATUS: Full-time (at least 37.5 hours/week)

 

PRIMARY PURPOSE/ POSITION SUMMARY: The Event and Enrollment Coordinator is responsible for planning, coordinating, and implementing all on-campus and virtual graduate and undergraduate student recruitment events. They are responsible for reporting out on the results of each event. The Event and Enrollment Coordinator is also responsible for managing all incoming general graduate phone, email, web chats and walk-in inquiries.

JOB COMPONENTS/PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Plan student recruitment events including, but not limited to, submission of  event forms, management and reporting of event registration, organization of event participants’ assignments and power point presentations, and creation of internal event agendas and staff tasks.
  • Coordinate and collaborate with the campus experience manager and the undergraduate office coordinator to ensure successful execution of all campus visit programing for prospective students, their families and group tours.
  • Ensure the campus visit experience for all visitors is exceptional and conveys the distinctiveness of the Dominican University community.
  • Lead and Point person for all large on-campus and virtual student recruitment events including but not limited to Graduate and Undergraduate Open Houses, undergraduate Admitted Student Days.
  • Collaborate with event logistics liaison to ensure room reservations, set-up, catering, and Information Technology are prepared and ready for each event.
  • Collaborate with enrollment & marketing departments on event communications, invites, registration, and event marketing collateral and promotion materials.
  • Assist with the setup and coordination of select event communications within the CRM.
  • Report and distribute results from all on-campus prospective student events within one business day of event.
  • Manage the graduate enrollment email box with an expected response time of 1-2 business days.
  • Manage Graduate Live Chat during business hours.
  • Respond to calls, walk-ins, and live chats with excellent customer service.
  • Ensure optimal customer service levels; determine peak service times and collaborate with Graduate Recruiters to schedule assistance with calls, emails, walk-ins, and applicant outreach.
  • Ensure all interactions are captured and reportable by logging all calls, emails, and walk-ins in the CRM system.
  • Report and distribute results from all on-campus and virtual prospective student events within one business day of event.
  • Manage group visit requests and partner with the enrollment administrative assistant and event logistics contact to confirm date and time, reserve rooms, create agendas,
  • Prioritize and complete a variety of tasks in a busy service-oriented atmosphere.
  • Perform other duties as requested, delegated or assigned.

  • Ability to maintain composure under pressure
  • High level  customer service skills
  • Ability to set priorities and manage tasks to achieve established goals
  • Proficient in Microsoft Office Suite
  • Ability to work with complex administrative integrated computer systems
  • Ability and willingness to work evenings and weekends

Education and Experience:

  • Bachelor’s degree required
  • Experience working in events, sales or college student recruitment preferred
  • Previous admission or enrollment management experience preferred
  • Experience working with or advising students at the undergraduate or graduate level  preferred
  • Experience with Slate and Jenzabar ERP preferred
