JOB SUMMARY

The College of Liberal Arts & Sciences (CLAS) Shared Services Grant Management Office seeks applicants for a full-time position as a Director of Grant Management Post Award (Administrative Program Manager 3) under CLAS Shared Services. Under the direction of the Associate Director for Shared Services, the incumbent will lead the post-award services grant management team and provide faculty and staff support in an efficient, effective and professional manner. The incumbent will also collaborate with CLAS Shared Services Directors in the: Business Center, Grant Management Pre-Award, Facilities Support, Computer Support, and Software Development areas to ensure the collective College mission is supported.

DUTIES AND RESPONSIBILITIES

  1. Leads and manages the post-award grant management business operations for all of CLAS.
  2. Serves as an expert resource to the CLAS Dean’s Office, faculty, and staff in such areas as interpreting policies, regulations and statutes, analyzing needs, and resolving complex, rare and unusual problems related to grant and award proposals, submissions, guidelines, and other concerns.
  3. Collaborate and co-lead with the Director of Grant Management Pre-Award and Research Development on process rollouts, efficiencies, and project development for the entire CLAS Shared Service Grant Management Operation.
  4. Leads the grant and contract award activities, including compliance reviews, account reconciliation, expenditure reviews, financial reporting, and closeout.
  5. Serves as an expert resource to faculty, department support staff, direct reports, and others. Aids with interpreting policies, award terms/conditions and regulations, and resolving complex issues.
  6. Serves as a member of the CLAS leadership team. Participates in establishing the team and team members' goals and updating office policies, procedures, processes, and initiatives.
  7. Works collaboratively with Sponsored Program Services (SPS) with grant submissions and post-award management to ensure effective and efficient processes are being utilized.
  8. Meets with SPS Directors of Pre- and Post-award regularly regarding internal policies and procedures.
  9. Oversees the work of assigned personnel, including assigning and reviewing work, providing mentorship, professional development, and training for direct reports and team.
  10. Direct supervision of staff (conducting performance evaluations) and motivates team members in an effort to foster a collegial and effective work environment.
  11. Networks with peers from within and other universities for operations enhancement.
  12. Maintains internal grant management database (CHAD and GMS) with grant submissions and related account information.
  13. Works on special projects as directed by CLAS Shared Services Director’s and CLAS Dean’s Office.
  14. Serves as liaison between University administration, faculty, and granting agencies.
  15. Monitors compliance with grant, award, and sponsor guidelines, agreements, and policies.
  16. Keeps current with industry best practices, federal and state law, and sponsoring agencies’ policies as they pertain to sponsored program activity.
  17. Participates in national and local meetings, seminars, and workshops in the area of research.
  18. Performs related work as required.

MINIMUM QUALIFICATIONS

  1. Master’s degree in a related field and at least 6 years of progressively responsible experience in a fast-paced, high volume (Research 1 or comparable) research administration enterprise. One year must be supervisory experience managing full-time employees OR Bachelor’s degree in a related field and at least 8 years of progressively responsible experience in a fast-paced, high volume (Research 1 or comparable) research administration enterprise.   2. Evidence of leadership and ability to direct and prioritize the work of others and a commitment to training, mentoring, coaching, and developing a team.
  3. Extensive knowledge of federal regulations, sponsor guidelines, and the Federal Office of Management and Budget (OMB) circulars as they relate to sponsored program activity.
  4. Excellent organizational and time-management skills.
  5. Excellent customer service skills with demonstrated ability to triage and deescalate difficult issues.
  6. Excellent oral and written communication and interpersonal skills, with a demonstrated ability to work collaboratively within a team, between teams, and externally.
  7. Excellent computer skills, including spreadsheets and databases, and demonstrated ability to manage new platforms and/or software systems.
  8. Maintain confidentiality and professional boundaries.

PREFERRED QUALIFICATIONS

  1. Knowledge of accounting standards and principles.
  2. Familiarity with and working knowledge of Kuali Financial Systems, InfoEd, grant sponsors portals, and the University’s departmental electronic systems and applications.
  3. Ability to collaborate with constituents at other higher educational workplaces to ensure best practices are established.
  4. Considerable critical thinking, problem-solving, and decision-making abilities.
  5. Ability to work with diverse student, administrative, and faculty populations and provide a commitment to the values of diversity, equity, and inclusion in an educational setting.

APPOINTMENT TERMS

This is a full-time position in the UCPEA Union.
