Sr. HR Coordinator
The Department of Urology is seeking a Senior HR Coordinator who will function as primary point of contact for department/divisional personnel/payroll issues. Interpret HR policy and procedures, and work with management to establish departmental practices within JHU guidelines. Provide a wide range of human resources support including matters involving employee relations, counseling, problem resolution, performance management, salary administration, compensation analysis, benefits administration, management training, organizational development, staffing needs, employment/hiring issues, diversity awareness, identification of professional development opportunities, and records management. Work with central and divisional HR, Benefits, JHU Legal Counsel, FASAP, TMOD, and the Office of Institutional Equity.

Specific Duties & Responsibilities:
  • Provide consultation to faculty and staff on interpretation of HR policy and procedures related to recruiting, employment positions, Family & Medical Leave (FML), STD, timekeeping (e210), SAP.
  • Coordinate initial divisional efforts related to staff that require (FML). Work with divisional administration, supervisors, and HSHR representatives on submission of paperwork related to this area.
  • Assists the Administrator in meeting the Department's and Institution's annual strategic goals centered around attracting, engaging, retaining, and developing the world's best people.
  • Ensure that human resources activities and services are carried consistent with and supportive of established university-wide and divisional human resources vision, mission, and plans.
  • Oversee collecting and evaluating information, and making recommendations in support of current efforts to comply with new JHU policies and/or federal laws and regulations.
  • Serve on various committees and task forces. Actively participates in discussion, brings in both personal and organizational Department-specific perspectives on issues. Recommends new policies and modifications to current human resources policies, procedures, and programs.
  • Contact department human resources office for all HR issues and school-wide project and initiatives.
  • Coordinate the employment process by working with faculty, staff, administration and appropriate JHU offices to ensure efficient and smooth process in accordance with all applicable university policies and procedures.
  • Provide guidance and make recommendations to the Department on appropriate starting salaries and promotional salaries for staff to ensure maintaining balance of equity.
  • Advise Departmental Leadership on matters concerning penetration of pay grades and equity of employee groups and seek advice from HS HR as needed.
  • Make internal job comparisons for equity purposes.
  • Provide consultation to employees on: tax information, sick time, vacation time, holidays, leave of absence, family medical leave, payroll, tuition reimbursement, flexible fringe benefits, deductions, etc.
  • Serve as the liaison to the HS HR's employment recruiters and compensation analysts as it related to personnel requisitions for the division.
  • Develop job descriptions for new positions.
  • Annually review all job descriptions in the department to ensure equity amongst staff within the Department, JHU SOM, JHH, and JHBMC. Advise on areas of inequity to include the development of the business case and financial impact to the department.
  • Manage the requisition submission process for the department and make offers of employment on behalf of the University School of Medicine and Health System.
  • Interview applicants and conduct reference checks.
  • Manage the visa process for International staff.
  • Provide department onboarding for all new faculty and staff including dissemination of Department Welcome Packet.
  • Determine new hire training required and obtain access to appropriate systems.
  • Responsible for the coordination and recommendation to the division about various training and Human Resources programs that are available to assist the division with retention, staff development, performance management and employee relations.
  • Manage employee relations cases for faculty and staff in partnership with central Human Resources. Facilitate appeals process with the Administrator.
  • Advise management on termination and disciplinary decisions with guidance from HS HR.
  • Interview, investigate, and gather sensitive information for the Administrator and HS HR as needed for appeals, disciplinary actions and other personnel matters.
  • Responsible for conducting employee exit interviews; signing of original time record, retrieval of badges, answering questions relating to final paycheck, etc.
  • Responsible for reviewing and approving divisionally generated faculty human resource/payroll documentation (including ISRs, letters, promotional letters, termination letters, salary reduction letters and payroll forms) for compliance as related to the Department approved fiscal year budget.
  • Monitor time and attendance for staff via E210 system ensuring adherence to JHU work rules.
  • Work with Administrator and Department Leadership on annual budgeting for Faculty and Staff and use systems to input data.
  • Initiate internal service requests (ISRs) as needed for faculty, staff, postdoctoral fellows and students. Responsible for payroll overpayments - implement processes to minimize, communicate, and recoup overpayments in a timely manner.
  • Resolve payroll problems for employees and review pay for accuracy.
  • Manage the credentialing, faculty appointment, and clinical privileges processes for the department, including faculty, advanced care practitioners, fellows, residents, post-doctoral fellows, observers, medical students, rotators, and trainees.
  • Manages the process for SOM faculty reappointments and clinical appointments at JHH, JHBC, Green Spring Station Surgical Center Series, Sibley Memorial Hospital, and WellSpan Health System.
  • Supervise and provide daily guidance to the Credentialing Coordinator.
  • Make recommendations to the administrative processes for credentialing in the Department.
  • Perform miscellaneous related duties as assigned.


Minimum Qualifications (Mandatory):
  • Bachelor's Degree in Human Resources, Business Administration, or other related field.
  • Three years related experience required.

Preferred Qualifications:
  • Experience in an academic or medical setting preferred.

  • Very strong organizational skills, analytical and problem solving abilities and attention to detail.
  • Ability to maintain confidentiality.
  • Strong interpersonal and communication skills, both oral and written.
  • Ability to effectively interact with all levels of University and Hospital employees as well as outside contractors.
  • SAP experience preferred.

Starting Salary Range: $43,970 - $60,390 annually (commensurate with experience)
Employee group: Full Time
