The mission of the University of Denver's Health & Counseling Center is to enhance overall student well-being and success through inclusive physical and mental healthcare, prevention, education, advocacy, and recovery support services. The HCC is an on-campus facility with two counseling locations open 8am-5pm M-F with evening hours until 7pm two to three evenings a week during the academic year. This position works a minimum of one 10-7 pm shift per week, one to two quarters per the academic year. The HCC provides a wide range of on-site medical and mental health services, along with advocacy, recovery and health promotion for the whole campus community. Position Summary

Provides a high standard of service excellence to both internal and external customers; interacts with patients to resolve patient issues and questions; demonstrates a commitment to the financial success of the HCC; demonstrates a commitment to the HCC as a whole by adherence to policies and procedures.

Demonstrates competence and initiative by performing a variety of functions, including the following: registering patients and scheduling patient visits efficiently and accurately; facilitating reception area activities; performing necessary computer tasks; scanning medical records accurately and in a timely manner; recording charges and fees accurately on patients accounts; collecting charges, as appropriate, and accurately recording the collection thereof, maintaining HCC provider (medical and mental health providers) schedules, a variety of billing responsibilities (correct coding, payment and 3rd party billing revenue capture, accounts receivable), insurance advocate for the students, member of committees within the HCC, Student Affairs and Inclusive Excellence; facilitates appropriate resolution of student issues and/or complaints; performs routine clerical duties as assigned. Coordinates and supports educational outreach programs and serves as liaison with various private, public, and university agencies.

Essential Functions

Interacts with patients, visitors, and HCC staff in a courteous manner, and demonstrates a sincere initiative in meeting patient needs. Ensures confidentiality of patient and institutional material in accordance with FERPA and HIPAA regulations. Maintains positive behaviors and attitudes; demonstrates commitment to interpersonal service towards patients, visitors, and co-workers.

  • Scans and updates patients electronic medical records, i.e., scan specialists referred visit notes, emergency room notes, prescription requests, etc., notifies referring provider or nurse for review.
  • Answers the telephone promptly and courteously; routes callers; takes complete and accurate messages and relays the information to the appropriate person with accuracy, courtesy, and speed.
  • Provides routine information via phone, e-mail and face to face.
  • Monitors patient needs in the reception area; maintains neat, clean, and safe work area.
  • Performs clerical duties such as copying forms, mailing brochures, requests for records, letters, and other clerical duties upon request of the DAF and MBD.
  • Enter students into the United Healthcare insurance database and notify them of their enrollment/benefits.
  • Enter students into the Delta Dental insurance database and notify them of their enrollment/benefits.
  • Enter referrals into UnitedHealthcare Student Resources.
  • Answer emails from the Info box.
  • Send reminder emails/text messages (appointments, psych vitals, questionnaire completion).
  • Review faxes.
  • Properly dispose of scanned records post 30-days in file.

Communication

  • Creates, implements and oversees communications programs, be it internal or external, that effectively describe and promote DU HCC.
  • Manages secure messages, text reminders, and communication with student.
  • Coordinates, updates, and improves the DU HCC marketing to encourage DU student utilization of HCC resources.
  • Assists and coordinates events outside of DU HCC i.e. flu clinics, sexual health clinics, and other health related events.
  • Design and deliver new student orientations with the DU community.

Medical Records

  • Ensures accuracy of CPT and ICD-10 codes.
  • Maintains patient electronic medical records.
  • Ensures confidentiality of patient and institutional material in accordance with FERPA and HIPAA regulations.
  • Processes all faxes which includes scanning into patient charts, notifying providers of documentation, taking prescription requests to nurses.
  • Aiding patients in properly completing and submitting Release of Information forms.
  • Notifies Medical Records Specialist or Assistant Director of Healthcare Operations about Maxient ROIs for further processing.
  • Maintains patient correspondence box.
  • Filters medical records (immunizations, assessment documentation etc.)
  • Notifies appropriate parties of any missing information.
  • Processes patient documentation.
  • Processing patient related faxes and emails.
  • Ensures that ROI forms are properly completed.
  • Notifies the Medical Records Specialist as ROI records are scanned into the patient chart.
  • Properly dispose of scanned records post 30-days in file.

Insurance Duties

  • Patient Scheduling Duties - Schedules patient appointments efficiently and accurately according to practice protocols.
  • Prepares, updates, and maintains patient schedules, including confirming, rescheduling, and canceling patient appointments according to practice protocols.
  • Coordinates patient flow and assures immediate priorities are satisfied such as registration, schedule changes, eligibility changes and students presenting in crisis or medical urgency.
  • Instructs patients how to enter their information online through the secure web portal. Notifies provider when a patient has canceled or rescheduled an app.

Knowledge, Skills, and Abilities

  • Working knowledge of Microsoft Suite Products
  • Knowledge of basic office equipment (phone, fax, copier, credit card machine, etc.)
  • Typing minimum 40 words/minute
  • Computer data entry.
  • Working knowledge of medical billing and coding.

Required Qualifications

  • Associates Degree or 2-5 years customer service in a healthcare environment
  • 2-5 years customer service related experience
  • Experience with computerized data collection, billing and account tracking systems

Preferred Qualifications

  • Bachelors Degree
  • Experience in medical coding and terminology
  • Experience in Electronic Medical Record software
  • Exceptional interpersonal skills, exemplary written and oral communication skills, and strong organizational and time management abilities
  • Ability to manage multiple projects at the same time
  • Ability to work effectively with diverse constituents
  • Ability to handle sensitive and confidential information

Working Environment

The work environment is a busy office setting, which features a fast pace, frequent interruptions and daily contact with the public. The environment involves balancing a variety of priorities and responding quickly to emerging problems. Office and patient care environments. Exposure to blood, body fluids and hazardous waste other than blood and body fluids. Occasional exposure to toxins, cytotoxins, and poisonous substances. Occasional exposure to hazardous materials such as chemicals and liquid nitrogen. Occasional exposure to dust, loud, unpleasant noises and combative situations. Frequent exposure to communicable disease.

Physical Activities

Ability to: perform simple motor skills; simple manipulative skills such as writing and picking up a telephone; moderately difficult manipulative skills such as typing; see clearly at both near and far distances; and communicate both verbally in writing.
Ability to sit in front of a computer for an extended period of time.
Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Monday - Friday, 8:00 a.m. - 5:00 p.m. Evenings and weekends as required.

Salary Grade Number:
The salary grade for the position is 8.

Hourly Range:
The hourly range for the position is $23.00-$25.40.

The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidates sex or any other protected status.
