Grants and Contract Analyst
We are seeking a Biology Grants & Contracts Analyst (GCA) who is part of a Research/Finance team who provides dedicated independent professional level sponsored funds management for more than 80% of time with specific responsibility for post-award functions that include, budget allocation, cost transfers, reconciling reports and financial data, billing/invoicing, reporting, and compliance. This position will also support the pre-award activities for the research group. The GCA will provide standard professional administrative level guidance on protocols, regulations and guidelines to PI and other scientific/research professionals within the department.

Specific Duties & Responsibilities:
  • Support multiple research faculty and their research lab members, consisting of faculty, researchers, post-docs, technicians, and students; sponsored awards, shared instrumentation grants, and non-sponsored accounts.
  • Work independently the majority of the time, teaming with the Principal Investigator's (PI's) and Co-PI's, and senior/management level grants & contracts professionals. May interact with other professionals within the University (such as, Export Controls, Business Administration and Research Administration (BARA), Johns Hopkins University Research Administration (JHURA), Treasurer's Office, and various University Shared Services) as well as collaborators at other Universities, Government Agencies, and Industry Partners.
  • This includes reviewing budgets and related justification for appropriateness, timeliness, accuracy and completeness and adherence to all relevant guidelines of each sponsor.
  • Serve as a liaison between research units, central offices and funding agencies.
  • Oversee and direct all aspects of moderate to highly complex award management activities, including monitoring and managing accounts, evaluations and reporting.
  • Provide information and direct assistance required to complete contract and grant closeouts as needed.
  • Will be involved with NSF, NASA, NIH, DOD, HHMI, AFOR, many Foundations, Universities and internal JHU awards. These multi-year, multi-million dollar grants include cost sharing, subawards, Independent Contractors, multi-institutions, and service centers. The post and pre-award sponsored activity includes moderate to highly-complex multi-year multi-million dollar grants and contracts.
  • Manage the budgeting and billings of the Integrated Imaging Center (IIC). This service center provides a wide range of imaging and related equipment for use by all divisions as well as external users.
  • Maintain ongoing updates and communications related to current grants and contracts, which includes regular auditing and reporting to principal investigators on financial status of grants, contracts and discretionary accounts. They will also provide relevant updates and reports to departmental leadership as needed.
  • Ensure compliance in all other areas related to grant and contract management, including sponsoring organization guidelines, internal protocols, accurate protocol information within grant documents, conflicts of interest and provide groundwork for subcontract negotiations.
  • Manage related post-award processes, including award setup, review, account setup verification and ensuring that staff are set up appropriately.
  • Ensure that post-award responsibilities are completed including budget distribution, account reconciliations, e-form setup, effort reporting, cost transfers, paying invoices and paperwork finalization related to subcontract setup.


Minimum Qualifications (Mandatory):
  • Bachelor's Degree required.
  • Two years of administrative/budgeting experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.*
  • Successful completion of the Research Administration Training Program (15 months) is equivalent to two years of relevant experience for this position. If an employee does not successfully complete the program, no additional experience will be applied.


* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

** Applicants who do not meet the posted requirements but are completing their final academic semester/quarter will be considered eligible for employment and may be asked to provide additional information confirming their academic completion date.

Special Knowledge, Skills & Abilities:
  • Knowledge of accounting and budgeting theory and practices required.
  • Preferred knowledge and understanding of The Johns Hopkins University accounting system and related fiscal offices.
  • Ability to make independent judgments and to act on decisions on a daily basis.
  • Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines.
  • Preferred knowledge of external Federal guidelines/procedures for grants and contracts.

Starting Salary Range: $51,210 - $70,480 annually (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
