Student Services Spec IThe student services specialist has full responsibility for maintaining 1,300+ active student files each semester, including a database which houses information on communication and information students and makes it possible to track student progression in the College. Works closely with the College's assistant dean for undergraduate programs and advising in compiling statistical information for University reports and is supervised by the assistant dean of undergraduate programs and advising. Provides graphics and spreadsheets on student data for the assistant dean for undergraduate programs and advising and school directors. Handles student traffic and plays a vital role in the day-to-day operation of the Center. Screens questions and inquiries from University/College administrators, directors, faculty, staff, students (current and prospective), and visitors/callers and directs them to appropriate personnel or departments. Coordinates the Degree Audit Reporting System and inputs all student petitions and permits as needed. Coordinates orientation materials and test scores for incoming students (first-year and transfer) and participates in the general advising and orientation course registration session.



Qualifications
Job Function/Responsibilities:

  • Management of the front-office, which houses all student files.
  • Maintenance of 1,300+ active student files each semester as well as files of inactive students, prospective students, and permanent files of communication and information graduates.
  • Coordinate the phase out process for paper files and moving to electronic files.
  • Maintenance of student database in Microsoft Access, providing vital information to College administrators for reporting purposes.
  • Processes major and advisor changes in Internet Native Banner.
  • Complete the processes for credit overloads and student permits in Internet Native Banner.
  • Maintenance of faculty mentor assignment process.
  • Enters all curricula exceptions into the degree audit reporting system (DARS) for students in the College of Communication and Information and students in other academic units pursuing study through minors offered in the college.
  • Assists the Assistant Dean of Undergraduate Programs and Advising of undergraduate advising with the review of degree audit reports for candidates for graduation.
  • Assists with advising events/activities and participates in general advising and course registration of current students, first-year students, and transfer students; supervises student workers and assigns job duties; coordinates and compiles materials for student orientations and handouts for students and the general public.
  • Train student workers and additional staff members on office processes and procedures.
  • Serves as a back-up resource to direct student traffic; answer main phone line; distribute information to students and visitors to the Center, direct students, and visitors to the appropriate office or department.
  • Serves as back-up to assist students in scheduling appointments with advising personnel and clears students to register.
Knowledge, Skills, & Abilities:

- Ability to work a diverse group of students within the College.

- Knowledge of Undergraduate Advising process ability to clearly communicate with students on a range of topics.

Preferred Knowledge, Skills, & Abilities:

- Microsoft Office, preferably Microsoft Word, Excel, Microsoft Outlook, as well asAdobe Acrobat. Knowledge of Banner and IRIS is preferred.

Required level/type of experience and/or years of experience:

  • High School Diploma or GED
  • 3 years of office experience in an office setting
Preferred level/type of experience and/or years of experience:

  • Associate's Degree
  • Bachelor's Degree
  • Experience working with students in higher education, particularly in an undergraduate advising center.
