JOB PURPOSE:

As part of the Student and Academic Services team, the Process & Project Manager will oversee the completion and successful implementation of various projects impacting areas such as degree progress, student records, enrollment, and tuition assessment. The manager will also be responsible for reviewing existing policies under the SAS umbrella and executing necessary updates. The manager will be expected to identify, clarify, and resolve highly visible and complex policy issues with impacts that may span multiple areas within Student and Academic Services. The primary focus of the position will be to ensure the mission of Student and Academic Services is being achieved via the development and maintenance of effective systems, processes, and policies.

Reporting jointly to the Director of Student Services Center and Deputy Registrar, the manager will analyze current and proposed business practices within Student and Academic Services and facilitate the implementation of creative solutions when applicable. The primary aim of the analysis will be ensuring all proposed policies and practices foster student success and cultivate a positive service experience. The position will require an individual with expert critical thinking and the ability to find proactive solutions to student service issues. A successful candidate will have proven collaborative and high-level integrity when dealing with cross-functional issues.

CORE DUTIES:
  • Manage an area or program in student services, analyze effectiveness, and make final decisions on program eligibility.
  • Engage in critical analysis of student and program concerns to resolve substantial issues which may span multiple areas, using advanced technical and professional knowledge.
  • Develop and implement programming (virtual, in-person), and make strategic recommendations for future programs.
  • Interpret and implement university policy related to academic policies; oversee the implementation of policies and practices for a student population or school.
  • Analyze and develop report requirements, portals, and student-facing communications.
  • Evaluate and determine recommendations on technology resources and negotiate with resources options and vendors.
  • Manage outreach programs, relationships with external communities, and university liaisons.
  • Provide direct advice to students on a range of issues including, but not limited to, academic progress, academic program policies, career plans, accessibility, community standards, etc., to assist them in making appropriate choices and decisions.
  • Provide consulting advice to internal and external organizations, and act as subject matter expert in a specialized field.
  • Oversee key processes, including contribution and direction on policy and program content.
  • Manage financial processes and development of budgets.
  • May lead teams and projects that impact a significant unit of the university.
  • May direct the work of other staff; contribute to the development of staff training programs.


STUDENT AND ACADEMIC SERVICES CORE DUTIES:

Policy Review & Process Implementation
  • Manage the regular review process of existing policies within Student & Academic Services, analyze effectiveness, and facilitate implementation of policy updates.
  • Lead discussions with SAS business owners, School Dean's Offices, Vice Provost for Undergraduate Education (VPUE), Vice Provost for Graduate Education (VPGE), Financial Aid, Housing, Athletics, and other central units, regarding proposed policy adjustments in their area; serve as an advisor to business units to ensure successful implementation of policy updates.
  • Recommend and help implement reporting tools to evaluate registrar functions and assist with assessment efforts.
  • Oversee student data maintenance in related systems; manage updates and modifications based on periodic evaluation and analysis of related academic policies; make appropriate exceptions to policy in accordance with the defined process; handle student escalations and communicate policy decisions directly to students and/or family members in accordance with FERPA regulations.
  • Ensure thorough communication and outreach to the larger student services staff community on all new policy implementations; plan and lead workshops and training with the student services community as necessary to facilitate successful implementation of all new protocols; develop training and resource materials to share with staff.


Project Management
  • Manage activities of assigned large-scale projects from project initiation through completion with limited guidance; coordinate all business activities on assigned projects; serve as either the primary project manager or as student success liaison for projects.
  • Manage both the relationships and project ask from groups outside of SAS (e.g., Vaden, Academic Advising). This position will identify the needs and the impacted groups within SAS and work as the liaison/project manager to ensure successful implementation and reasonable timelines. Will partner with external vendors (OpenText, Flywire, UIT consultants, etc.) where necessary.
  • Work collaboratively with system analysts and developers to identify and resolve problems, as well as to identify and define requirements for new functionality in PeopleSoft and other student services applications.
  • Maintain active knowledge of all systems and participate in the planning for future system functionality.


MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor's degree and five years of relevant experience, or a combination of education and relevant experience.

Knowledge, Skills, and Abilities:
  • Advanced communication skills to communicate information clearly and effectively to internal and external audiences, client groups, and all levels of management.
  • Strong analytical and problem-solving skills to review and analyze complex information.
  • Advanced computer skills, including experience with Microsoft Office Suite.
  • Advanced customer service skills.
  • Relevant computer systems/technology experience.
  • Understanding of financial transactions.
  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.

PHYSICAL REQUIREMENTS*:
  • Frequently sit, perform desk-based computer tasks.
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
