The mission of San Diego State University Global Campus is “to be a world leader in delivering innovative educational experiences to all learners, expanding opportunity and transforming lives. Our programs and technologies are ever-evolving to meet ever-changing needs; our high level of service and support is a constant.” SDSU Global Campus serves as a principal University liaison with the greater San Diego community and provides a wide variety of traditional and nontraditional, credit and noncredit educational experiences designed to fit the lifestyle and expectations of working adults and other lifelong learners. In addition, Global Campus provides a range of academic and special programs for individuals and groups at various times, in various locations, and via various modalities, including technology based programs -- throughout the year. The primary audiences include workforce, military, working adults and international constituencies.

Under the general direction of the Director of Admissions, the Admissions Advisor has responsibility for administrative and student support services of SDSU Global Campus online degree programs. This position while within the organization of Global Campus operates as an extension of the College where the program originates (example: For the Criminal Justice online degree completion program this role works directly with the SDSU School of Public Affairs).

This function will assist the student through the entire enrollment process, providing more in-depth advising on the program of interest — whether GE, upper, or lower division — developing an academic plan leading to graduation, exploration of options, next steps, initial class schedule communications, and assisting the student through the entire enrollment process. They will work hand-in-hand with the other functions as liaison with students, and connect students to other departments as necessary.
Online degree completions are student centric programs in a fast-paced and dynamic organization. The Coordinator works in concert with other members of the Global Campus Student Center (a one-stop shop for all student services) and closely with the program director (in both Global Campus and the College) across a wide variety of areas including, but not limited to, on campus and online information sessions; prospective student support; pre-evaluation of applicants; coordination of application processes and follow-up with students and the Office of Admissions and Enrollment Services. Specific duties include: academic scheduling; program support; student support; faculty support; and office support. The admission advisor uses independent decision-making in solving and troubleshooting problems as they arise. The admissions advisor interacts with and provides a high level of support to various constituents and groups including students, faculty, representatives from university divisions and auxiliaries as well as the general public. The advisor uses all forms of communication in order to successfully perform the work (phone, email, fax, mail, social media, etc.)


Responsibilities
The following information is intended to be representative of the work performed by incumbents in this position and is not all-inclusive. Job descriptions may be changed at any time based on the needs of the department. Under the general direction of the Director, the Admissions Advisor is responsible for:

Student Advising and Support – 70%
  • Act as primary advisor for all prospective and matriculated students in the online degree programs.
  • Review prospective student file; provide information needed by program director for admission decisions; work with Student Center and university staff to ensure all applicant file materials are received; assist with miscellaneous pre-screening needs under the direction of the program director.
  • Answer student inquiries regarding online application process; assist international students with specific requirements for international admission; update database and student files with incoming documents; review student admission status for incomplete documents; assist with miscellaneous application process needs under the direction of the program director.
  • Track and review student admission status and confirm student’s completion of preparation for the major prerequisites and impaction criteria; review student enrollment status; answer admission-related questions and assist with miscellaneous admission and enrollment needs under the direction of the program director. Notify students of admission to program and course acceptance.
  • Answer and respond to phone, walk-ins, and emails related to student inquiries while following Student Center guidelines; pro-actively communicate and follow-up with inquiries as needed; research/resolve customer/student service issues related to SDSU Global Campus programs.
  • Utilize the college's CRM system (Salesforce) to maximize customer service and recruiting efforts through the use of prospect funneling, lead nurturing, and appropriate communication to incoming leads.
  • Maintain tracking systems that ensure sequential follow-up for each prospective student at each step of the recruiting and advising process.
  • Utilize the SDSU Global Campus chat and/or SMS functionality to maximize customer service efforts and provide accurate, valid, and complete information by using the right methods/tools.
  • Work on streamlining processes and to help identify areas for process improvements.
  • Monitor enrollment management activity with responsibility for achieving key metrics in lead conversion process.
  • Work with campus departments on behalf of students to research and resolve academic, disciplinary, and financial aid issues.
  • Develop and maintain accurate advising manuals and job aids.
  • Establish methods of performing assigned tasks; coordinate the office workflow and set priorities and deadlines, subject to supervisor approval.

Student Onboarding – 20%
  • Assist in the creation, implementation, and ongoing support of the New Student Orientation (NSO) for transfer and graduate students
  • Work with the appropriate parties to coordinate requests for change of major, review course equivalencies, respond to student inquiries regarding academic standing and change of status.
  • Advise students on program and graduation requirements. Counsel students on academic probation regarding strategies to overcome GPA deficiencies and recommend steps for improvement. Refer student to academic resources as appropriate.
  • Develop an initial academic plan leading to graduation, exploration of options, next steps, initial class schedule communications, and assisting the student through the enrollment process. This plan will be passed to the Success Advisor upon student’s initial enrollment.
  • Provide information regarding the financial aid and veteran's aid processes; make appropriate referrals for financial aid and payment processes; coordinate on-line registration process with
  • SDSU Global Campus Student Center; assist with miscellaneous student support needs under the direction of the program director.
  • Provide academic support to faculty as needed for the program.

Miscellaneous – 10%
  • Performs other duties as assigned which may arise from the changing and evolving nature of SDSU Global Campus


Qualifications
Knowledge and Abilities

  • Ability to acquire working knowledge of SDSU and CSU policies related to Academic advising.
  • A knowledge of principles and best practices in customer service.
  • Strong computer skills with experience using Office 365 and G Suite, as well as other standard and custom software applications and ability to manage databases and to perform merges.
  • Ability to acquire a thorough, detailed knowledge of applicable SDSU Research Foundation and university infrastructure, policies, and procedures.
  • Ability to acquire working knowledge of SDSU and CSU policies governing non-credit and credit course offerings.
  • Ability to independently handle multiple work priorities and projects and work well under pressure of frequent interruptions, program deadlines, etc.
  • Must have thorough knowledge of English grammar, punctuation and spelling.
  • Must have strong oral and written communication skills, with the ability to edit materials for clarity and syntax.
  • Thorough knowledge of office systems with the ability to use a broader range of technology, systems, and software packages.
  • Ability to establish and maintain working relationships, interact and provide customer support to faculty, staff, students and the public.
  • Ability to administer online chat platforms for Global Campus programs.
  • Ability to handle effectively a broader range of interpersonal contacts, including those at a higher level and those sensitive in nature.
  • Ability to work in a performance based environment with established performance expectations and established goals/objectives.

Minimum Experience
  • Two years of professional experience in one of the student services program areas or in a related field; A master’s degree in a job-related field may be substituted for one year of the professional experience.

Minimum Education
  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.


PREFERRED QUALIFICATIONS AND SPECIAL SKILLS
  • Four years of progressively responsible experience in advising, office, or administrative envirnment
  • Previous work experience coordinating program logistics
  • Previous experience working at a University
  • Previous experience working with students
  • Experience working leads/inquireis
  • Previous work experience in continuing education for adult and non-traditional learners
  • Previous CRM experience utilizing Salesforce
  • Previous work experience working in a performance-oriented environment utilizing performance expectations, and established goals and objectives
  • Access to transportation for off-campus events.
  • Ability to work some evenings and weekends with advance notice.
