Overview
Prison Arts Collective (PAC) works to expand access to the transformative power of the arts through collaboration and mutual learning that supports the development of self-expression, reflection, communication, and empathy through providing multidisciplinary arts programming in correctional institutions. PAC currently facilitates weekly multidisciplinary arts programming and art facilitator training programs in 12 prisons throughout California. PAC is based at San Diego State University and has partnerships with California State University, Fullerton; Humboldt State University, and California State University, San Bernardino.

Position Summary

Reporting to the Executive Director (ED), the Program Coordinator will manage organizational operations across multiple chapter sites and provide support in the areas of implementation of the scope of work, training and supervision of staff, and visioning for future programming. The position will have both internal and external responsibilities, including building and strengthening relationships with partners and chapter leadership, as well as improving internal systems and supervising interns and staff.

This is a one-year term based on the grant cycle with the potential for extension based on interest and performance. The Program Coordinator serves as part of the core team and reports to the Executive Director. This position is based at the SDSU headquarters with some options for some remote work. It will include travel to partner campuses and correctional institutions.



Responsibilities
Program Operations
  • Ensure that the Scope of Work at each site is effectively implemented in the PAC model and that reports and evaluations are done and submitted on time. Includes implementing current procedures and suggesting revisions and updates as relevant and reporting to ED about successes and any risk or issues that arises.
  • Work with the ED and COC to model collaboration to effectively inspire, encourage, and support a diverse team of students, faculty, staff, and volunteers in collaborating on the project including the chapters/regions, peer leaders, faculty/student-led courses, and innovating solutions to be responsive to needs of participants
  • Participate as a core member of PAC’s leadership team to promote success. Serve as a partner to coordinators at PAC chapter sites to support smooth program operations.
  • Implement internal systems (meetings, information technology, onboarding, training) for smooth operations and suggest improvements as needed.
  • Collaborate with the leadership team in developing effective processes and implementing supervision and evaluation of interns and volunteers.
  • Support Program Assistant to ensure HQ filing system is efficiently maintained and g sensitive records such as program research and information on participants and team members is stored and managed in compliance with IRB requirements.


  • Education & Partnerships
  • Participate in the internal grant planning committee and support the grant application process in coordination with the SDSU Foundation.
  • Strengthen relationships with current PAC partners and funders, including facilitating chapter coordinator meetings and serving as alternate member of AIC monthly meetings.
  • Oversee grant reporting in coordination with the program team and PAC chapter sites.
  • Option to serve as a key member of Research Team and a staff associate on the Internal Review Board (IRB), provide organizational support to the co-PIs on the implementation of statewide IRB


  • Management
  • Train and help support interns at Headquarters and be a key contact for Chapter Coordinators across the regional programs of PAC.
  • Implement and evolve orientations and training for interns and new program staff.
  • Develop materials and supplies lists based on office and chapter needs and place supply orders.
  • In consultation with ED, evaluate and implement procedural processes across PAC and chapters including filing systems, naming conventions, note taking policies, and other as needed.
  • Coordinate with administration at PAC chapter sites to schedule meetings, trainings, and visits.
  • Perform other administrative duties to support the ED and program staff, as needed.


  • Creative and Education
  • Partner with ED and Communication and Outreach Coordinator on PAC events related to programming in prisons and in the community.
  • Visit PAC programs on a regular basis to support the teaching team, provide input, and build relationships with partners in CDCR and CSUs.
  • Option for Coordinator to lead teacher training and facilitator training in community and correctional sites depending on experience and interest.


  • Qualifications
    MINIMUM EDUCATION
    • High school diploma or equivalent


    MINIMUM EXPERIENCE
    • 4-years of progressively responsible experience in an office or administrative environment
