11-May-2022 Close All Job SummaryThe Department of Human Resources (HR) encourages applications for the Administrative Assistant II! This position provides administrative and data entry support for the University of Colorado Department of Human Resources. Position functions as the front line Human Resources receptionist and provides front desk customer service functions. This includes answering questions and directing calls from employees within CU- Boulder as well as applicants and customers outside of the University. Position assists customers by phone, e-mail and in person to answer questions, provide assistance with the online job application process, or direct inquiries to the most appropriate resource. Position also provides general administrative support to the HR staff by ordering office supplies, filing, and assisting with scanning, mailing, data entry functions, and other administrative tasks and projects as assigned.

What Your Key Responsibilities Will BeFront Desk Customer Service:
  • Greet customers by telephone and in person; announce visitors who have appointments with HR staff; direct customers to testing and/or training sessions; respond to general, prescribed questions while referring all other questions to the appropriate individual and/or unit; refer customers to the appropriate person or work unit; on-site processing of Federal Form I-9s; assist with logistics including checking-in applicants or HR, FSAP & OIEC clients; provide assistance and guidance to job applicants and how to find positions at the university. Monitoring HRmail inbox, respond and route accordingly. Strong interest in helping all types of customers and capturing information related to a job announcement, general HR questions or other university matters, and determine if you are able to answer immediate question or refer callers to next point of contact for more guidance.
Administrative Support and Data Entry:
  • Assist in ordering and stocking office supplies; assists by taking a more active role in completing basic verbal and written responses to general employment inquiries and verifications; assist with data entry or data retrieval using HRI or HCM databases as needed; provide the function as floor and building proctor for ARCE and building tenants, managing; and assists with reviewing HR website information for broken links or out of date information as needed. Assist with other administrative tasks and special projects as needed. Receive and distribute incoming packages and mail for the department.

  • Two years administrative, clerical, or customer service related experience.
  • Appropriate education will substitute for the required experience on a year-for-year basis.
What You Will Need
  • Experience working with and communicating with diverse audiences and a proven dedication to diversity and inclusion. Ability to recognize and adapt to cultural and language differences.
What We Would Like You To Have
  • Comfortable with multiple phone lines and a large volume of calls, ability to work well independently and as part of a team. Bilingual skills in any language(s). Proficiency using Microsoft Word, Excel and Outlook.
