Job Responsibilities:

The Sr. Associate Director reports to the Director of Admissions and Strategic Recruitment for the Citadel Graduate College and College Transfer Programs and is responsible for the overall management of the Admissions Operations function.

The position manages and enhances the operational function of the division as well as advances enrollment management planning and the coordination of enrollment growth strategies within the institution. The incumbent will provide coordination and support for the growth of graduate, transfer undergraduate programs, and continuing education programs by being responsible for, but not limited to, the main functional areas below:

  • Admissions and Data Management – Responsible for oversight and testing of admissions programs, software, and databases. (Ellucian Recruit CRM, Banner, Salesforce, Cadence, etc). Plan, develop, implement, monitor, and evaluate the integration of technology into the execution of the entire enrollment process, from recruitment through enrollment. Collaborate closely with Cadet Admissions to ensure shared systems are satisfactorily serving admissions functions for all users and the College. Create, monitor, analyze, and report appropriate metrics to inform and guide operational decisions related to the impact of recruitment, marketing, retention initiatives. Coordinate and manage the collection and input of admissions data.
  • Application Data Management - Manage and maintain standards and procedures for admissions processing, including performing application and dataset updates in the CRM and SIS systems, correcting errors, creating new institution codes in Banner, and resolving issues. Serves as lead for the CRM application and is responsible for the maintenance and setup for each enrollment cycle. Coordinate the transfer of information from the CRM to Banner.
  • Communication - Coordinate the implementation of a high-touch, high-energy recruitment plan through personalized service and efficient processes to maximize the effectiveness of The Citadel's enrollment plan. Oversees the development of communication strategies to include communications delivered through Ellucian Recruit (CRM), Salesforce, Cadence, and other related systems that address prospective students, events, program and enrollment inquiries, application processes, all phases of the enrollment process.
  • Application Review Process - Coordinate the application review process from staffs reviews to sending information for faculty review and the digital movement through the CRM and Banner; prepare them for review and entering decisions; and monitor all data input.
  • Training - Manages overall training of the admissions processes and procedures, including writing and updating processes and procedures based on best practices and the College Catalog admissions policies, requirements, and processes.
  • Day-to-Day - communicates with prospective and current students and university faculty and staff; participating on committees, attends meetings, performs system audits, participates in recruitment events; updating application information in designated systems. Assist the Director and Associate Provost in developing, implementing, and managing the College's Comprehensive Enrollment Plan. Oversee report writing and related data reporting to assist planning and operational activities.
  • Supervision – Directly supervises the operations staff and their activities to ensure proper data input, efficient processes, and overall goals are being met. Indirectly supervises the recruitment team in the areas of general operations, admissions procedures and processes, and office functionality.
  • Qualifications:

    The ability to work independently or with minimal supervision is critical. Functioning as the Executive Associate to the Director, this individual must possess the characteristics of initiative, cooperativeness, loyalty, and integrity.

    The minimum requirement is a Bachelor’s degree and seven(7) years of experience or a Master’s degree and four(4) years of experience. Must have higher education admissions recruitment or enrollment management-related experience, including knowledge of one or more of the following: recruitment/admissions data reporting, prospective student management, targeted recruitment efforts, or student information systems and CRM management experience.

    Preferred Qualifications;

    5+ years of higher education experience is preferred with supervision experience at the assistant or associate director level (or equivalent).
