Your opportunity:

The Rotman Commerce program is offered jointly by the Rotman School of Management and the Faculty of Arts and Science. It is a highly respected, highly competitive program within the business, financial and academic communities. Rotman Commerce serves approximately 3200 in-program undergraduate business students as well as over 16,000 graduates of the Bachelor of Commerce program. Rotman Commerce offers its students a rich and rigorous academic program alongside ample opportunities to develop themselves personally and professionally.

As the Finance and Operations Coordinator, you will be responsible for providing administrative support for the Office of the Director, and its program-wide initiatives. You will also provide a wide variety of administrative support for departmental operations, space management, event support and financial management.

Your responsibilities will include:

  • Overseeing day-to-day operational needs of the unit
  • Resolving issues within the scope of the role and escalating problems as required
  • Applying established standards to control the distribution of access to designated University spaces
  • Verifying the accuracy and completeness of documents
  • Identifying and introducing variations to established administration processes
  • Checking that proper approvals are obtained prior to processing transactions
  • Analyzing actual expenditures in comparison to budget and preparing reports for financial planning and funding terms compliance
  • Formattingdata collected for presentations and reports

Essential Qualifications:

  • Advanced College Diploma (3 years) in Business Administration, Finance or Accounting; or acceptable combination of equivalent education and experience
  • Minimum five (5) years of full-time (or equivalent) relevant experience in operations and processing financial transactions
  • Recent and related experience in coordinating operations and space management, logistics management and facilities services
  • Demonstrated experience/proficiency in University of Toronto administrative systems (FIS, uSOURCE) or equivalent systems required
  • Practical knowledge of accounting principles and practices
  • Experience in handling sensitive and confidential information including payroll and financial documentation
  • Previous customer service experience
  • Superior oral and written communication skills; ability to communicate University and Rotman Commerce practices and procedures clearly and effectively
  • Demonstrated advanced-level skills in Microsoft Office Suite, in particular Excel skills and reporting, as well as maintaining a database
  • High degree of accuracy and attention to detail is essential along with strong numeracy, problem-solving and analytical skills
  • Strong client service orientation with an awareness of and sensitivity to diversity is essential
  • Demonstrated ability to exercises tact, professionalism, good judgment and diplomacy when dealing with internal and external stakeholders
  • Must possess strong interpersonal skills and an ability to collaborate and participate within a team environment as well as independently
  • Excellent organizational and time management skills with an ability to assume responsibility, be proactive and work on own initiatves
  • Demonstrated ability to prioritize and complete many competing demands in order to meet strict deadlines and to multi-task on varied duties

Assets (Nonessential):

  • Related experience in a University environment preferred including experience in applying and interpreting financial and procurement policies and procedures
  • General familiarity and understanding with common audiovisual equipment systems and access control and room booking software
