Your opportunity:

The Department of Statistical Sciences is one of the top ten statistics departments in North America, with our faculty developing numerous important innovations in statistical science. Our mission is to serve as a centre of excellence for statistical and actuarial research and education, across the campus, nationally and internationally. Research is centered on excellence in theory and methods, as many faculty members in the department have very successful collaborative research programs. Central to our vision for the next five years is to strengthen our national and international reputation in collaborative scientific activity, without compromising our core strengths.

Your responsibilities will include:

  • Providing front line student service and detailed information to students on program and/or course requirements. Writing routine documents and correspondence.
  • Providing administrative support for Graduate programs. Receiving and passing on application documents for review. Checking completeness of applications.
  • Troubleshooting timetabling and/or room booking conflicts. Liaising with stakeholders to coordinate space and resource requirements.
  • Reviewing, collecting and passing on submissions for award competition.
  • Coordinating committee meetings and taking minutes.
  • Assisting in organizing the logistics of meetings, events and outreach initiatives.
  • Updating and maintaining student records and generating reports. Updating and maintaining files and records.
  • Maintaining and updating websites.

<span 72="">Essential Qualifications:

  • <span 72="">Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • <span 72="">Minimum two (2) years of recent and related experience in a post-secondary environment providing administrative support with graduate student services and program administration. Experience providing front line student services and detailed information on programs of study and other related information. Experience providing administrative support to graduate programs, including checking prerequisites for courses and assessments for graduation; screening and coordinating graduate admission applications; checking applications for completeness; entering and recording student data; coordinating timetable schedules and room assignments; coordinating exams, marks, and petitions; maintaining files and records; and coordinating committees and taking minutes. Experience with preparing and editing correspondence, informational material and other related documents; and receiving and preparing applications for all graduate awards, scholarships and financial support. Experience with updating and maintaining records and preparing reports. Experience with assisting in organizing the logistics of events and outreach initiatives. Experience updating and maintaining information on websites. Experience working in a busy, fast-paced environment with a high volume of student inquiries. Experience providing support to the reception desk for the Department.
  • <span 72="">Demonstrated proficiency in working with students and providing information on different academic issues/programs; excellent oral and written communication skills, demonstrated advanced level skills in Microsoft Word, Excel, and Power Point. Solid working knowledge with ROSI, ROSI Express and Degree Explorer and/or other related student information systems. Advanced skills with web page editing (preferably CMS). Advanced knowledge working with databases and preparing reports. Excellent problem-solving, coordination and administrative skills. Excellent time management skills. Excellent interpersonal skills and ability to communicate effectively with students, staff and faculty.
  • <span 72="">Ability to create a welcoming environment for students and provide excellent customer service. Ability to work with competing assignment demands; detailed oriented and shows accuracy; and ability to follow through specific instructions. Knowledge of CUPE Local 3902 Unit 1 procedures and policies or other related agreements. Demonstrated knowledge of Faculty of Arts and Science, the School of Graduate Studies practices and procedures and/or other related student services.
