- This position provides first-line contact to the Department.
- Serves as a trusted agent for the Department of Medicine (DOM) administration, setting up purchase orders and ensuring payment for services rendered. Works collaboratively with the Executive Assistant to the Chair, ensuring the Chair’s support is optimal. Advise staff and faculty on University policies and procedures.Manages ongoing programs and priorities of the Department, including but not limited to: medical grand rounds, Research and Innovation Conferences (RIC), gender equity efforts, mentoring development, etc. Responsible for overseeing the structure and maintenance of the electronic DOM faculty and staff files and databases. Ensuring adherence to University document retention policies; recommend and implement changes as needed.Manages the DOM document tracking process for faculty actions, grants, MOUs, etc.Collaborates on communications projects with department and division specialists.Acquires on the job knowledge to respond to the growing administrative, managerial, academic, clinical, and student services needs of the DepartmentCollaborates with the Director of Finance and Administration, the Vice-chairs of the Department, the Chair, and other faculty on assigned projects.Partners with DOM administrative staff to ensure administrative tasks are completed at a high level.Serves a vital role in the faculty affairs processes by providing critical support to standing, cyclical, ad-hoc committees and projects established/overseen by the Department of Medicine.Assists and serves as backup for HR and Faculty Affairs processes and procedures. Remains up to date on related University and School requirements.Partners with DOM administrative staff to develop and improve operational processes.Manages the Clinical (Volunteer) Faculty appointment and promotion process at the DOM admin level.Adhere to current financial policies and procedures; independently seek training and guidance on new policies and procedures.Within delegated financial authority, exercise personal responsibility and accountability by determining needed expenditures; making decisions on the appropriateness of expenditures; assisting Department staff with procurement; reconciling accounts; analyzing discrepancies; and independently developing solutions to problems as appropriate.Coordinates all aspects (procurement, communications, etc.) of essential event planning for the DOM. Reconciles DOM specific invoices in University and CU Medicine systems.Other finance, HR, communications, and general administrative projects as assigned.
- A bachelor’s degree in business, business administration, finance, accounting, education, social sciences, healthcare administration, public administration, communications, information systems, or a directly related field from an accredited institution.One (1) year of professional-level experience in an administrative setting.
- 3+ years of experience in an administrative role for a higher education institution.
- Experience providing administrative and technical assistance to faculty and staff within higher education and/or medical education environment.
- Experience working with UCD software such as Marketplace, Concur, Peoplesoft and Taleo.
- Ability to communicate effectively, both in writing and orally. Resourceful member of the administrative team.Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.Outstanding customer service skills.Excellent research skills and attention to detail.Strong sense of urgency and problem-solving skills combined with the ability to prioritize projects.Demonstrated commitment and ability to advance diversity and inclusion.Advanced skills in Microsoft Office Suite.Ability to take direction and use independent judgment to coordinate various projects and meet multiple deadlines. Ability to maintain confidentiality.Ability to effectively explain processes and procedures.Excellent time management, organizational skills, and ability to manage multiple projects along with the ability to move from one task/duty to another without errors despite frequent interruptions.Must possess a professional demeanor and have experience that demonstrates problem-solving skills and the ability to manage multiple tasks and work independently with minimal supervision.Ability to interpret complex rules, regulations, policies, procedures, and guidelinesKnowledge and experience in business administration with an emphasis on relationship development, process implementation, and process improvement is highly desirable.
