Position Summary

The primary duties of this hybrid position support Mail Services with assistance, as needed, provided to Campus Operations. The Mail Services and Campus Operations Assistant is responsible for the delivery and pickup of mail from the United States Post Office twice per day. Daily responsibilities for this position include accurately logging, preparing, sorting, and delivering a variety of mail and up to 150 packages per week on the La Plata Campus. The assistant must have the ability to lift and carry 70-pound packages in the daily course of duties. This position is a power user of the college’s high-speed postage meter. Provides support on an as needed basis to Campus Operations. The daily schedule and task deadlines assigned to this position may be altered based on the changing needs of Mail Services and Campus Operations.

Essential Functions:

  • Strives to be a resource to Mail Services and Campus Operations.
  • Possesses a willingness to be flexible, including working overtime, performing responsibilities not specifically identified in the job description, and assuming new responsibilities as the needs of Mail Services and Campus Operations changes.
  • Primary courier to and from the post office twice daily
  • Utilizes and maintains a high level of customer service standards throughout the day in the performance of all Mail Services and Campus Operations duties.
  • Maintains a daily schedule of arrival and departures to all College of Southern Maryland locations and daily Post Office pick up/drop off deliveries.
  • Assists with the delivery of packages/boxes, including internal CSM Central Supply Orders
  • Utilizes Qtrak app to assist with delivery of packages ensuring accurate delivery ensuring packages are delivered to the right location and get customer’s signature.
  • Delivers all print center jobs to all five CSM locations.
  • Monitors Mail Services Outlook email account.
  • Processes, handles, and/or delivers a variety of confidential CSM information including checks, internal and first-class mail, exams, and college surveys.
  • Operates a CSM transit vehicle in the performance of daily duties.
  • Maintains CSM transit vehicle daily by removing trash and keeping windshield, windows, and mirrors clean.
  • Schedules preventive maintenance on CSM transit vehicle at intervals designated by maintenance technician.
  • Keeps supervisor updated regarding any and all delivery anomalies or service issues.
  • Sorts and measures incoming USPS mail and packages by postal class, including any special handling required, such as registered, certified/return receipt, insured, priority, international, and express mail.
  • Sort all first-class mail and inter-office mail to department to assigned mail box receptacles.
  • Determines final delivery point of generically addressed mail, using resources available, including CSM phone directory, group wise e-mail, alphabetical listing of staff and faculty and the Mail Operations Specialist guidance.
  • Responsible for the high-speed metering operation to generate postage on all outgoing USPS first class mail, media mail, express mail, registered mailed, etc.
  • Performs data input, using a variety of computer software, including MS Word and Excel.
  • Provides customer service both telephonically and at Mail Services window.
  • Stays current on all USPS regulations as they pertain to the daily function of Mail Services.
  • Assists with organization of office supplies.
  • Performs other duties, including filing and word processing, as assigned by the Mail Services Coordinator.

    Campus Operations – assists with the following duties as needed:

  • Assists placing and removing signage on campus
  • Assists with the inventory of yellow totes, including delivery and picking-up
  • Assists the College Event Coordinator with event logistics and execution
  • Utilizes ASTRA and Outlook to answer questions about room scheduling in the absence of Campus Operations Coordinator and College Event Coordinator
  • Assists with pre-semester room inventories to ensure furnishings and equipment are in place and adequate
