Overview

Applications are being accepted for a full-time Administrative Assistant to the Vice President - Student Services.  This position will provide administrative support and technical assistance to the Vice President – Student Services and Directors for the Student Services Unit.

 

Applications will be accepted until the position is filled; however, initial review of applicants will take place May 27, 2022. 

 

 

Responsibilities1. Facilitate the communication flow within the department. Serve as a clearinghouse by addressing inquiries from internal/external customers. Serve as the point of contact for customers and supply procedural information as needed. Provide recommendations for and implementation of improvements in the communication processes, policies and procedures of the Student Services Unit. Serve as a front office representative for the executive suite.2. Preparation and tracking of Student Services Unit communications and documents including, but not limited to weekly College newsletter/portal, catalog edits, policy/procedure edits, meeting minutes, MS Teams sites, MS SharePoint sites and other essential communications. Maintains documents following established College operating procedures.3. Scan, prepare, copy and dispose of confidential communications for the VP Student Services or directors in the unit as needed following College policies/procedures.4. Coordinate people, planning and resources for Student Services Unit events, meetings and professional development. 5. Coordinate and process budget documentation related to unit travel expenses, budget adjustments, personnel, professional development. Manages purchasing card changes/requests for Unit with VP approval. Coordinates monthly distribution of operating and grant budget reports to managers. Ensures proper grant spend documentation for the Student Services Unit. Enter and review p-card purchases, expense vouchers, travel requests and purchase requisitions, process invoices for payment.6. Support VP Student Services by managing calls, requests for meetings, calendars, mail processing, travel planning and preparing meeting minutes for share down. Supports WTCS (Wisconsin Technical College System) meetings as requested by the VP.7. Coordinate and track annual College planning and budget processes for the Student Services Unit including but not limited to strategic plan documentation, budget and initiatives submissions, Framework for Teams and required College reporting.8. Train and develop other administrative professionals, temporary staff and student employees in proper College and unit policies/procedures, office technologies and productivity. 9. Perform other duties as assigned. 

 

Qualifications

1. Associate degree in administrative assistant, supervisory management, office management or a related field. Bachelor’s degree in a related field preferred. 2. A minimum of five years’ of related work experience.3. Any combination of equivalent training and experience which provides desired knowledge, skills and abilities.4. Extensive knowledge of office practices, procedures, terminology and equipment.5. High degree of skill in microcomputer applications and use of hardware and software. Advanced knowledge of MS Office 365 Suite, including MS Outlook. Familiarity with MS Project and Adobe Acrobat Pro preferred. Experience with Banner or other student administration systems preferred.6. Strong problem-solving skills. Must demonstrate ability to capture essential issues, suggest solutions and provide research and follow-through.7. Willingness to take initiative, work independently with little supervision and make decisions with minimal direction. Must demonstrate strong organizational and time management skills with the ability to prioritize projects with routine assignments.8. Willingness to learn and take on new challenges.9. Strong oral and written communication skills. Demonstrated effective email communication skills. Ability to provide direction to staff and train staff. 10. Ability to maintain confidentiality and apply confidentiality rules/guidelines/laws.11. Knowledge of accounting methods and procedures. Ability to read and understand budget reports preferred.12. Strong interpersonal skills and ability to develop and maintain effective working relationships with internal and external customers. Strong conflict resolution skills. Portrays a positive demeanor at all times.13. Ability to work collaboratively to meet organizational goals and objectives. Experience working in a team-based environment.14. Demonstrated ability to work effectively with diverse populations by promoting and maintaining an inclusive work environment and culture that is respectful and accepting of diversity.
