University Program Specialist
The University of North Carolina at Charlotte is seeking applications for a University Program Specialist for the College of Business. This is a full-time, permanent staff position.
Purpose of the Position: Serving as the face of the department, the University Program Specialist for the Office of Graduate Programs in the Belk College of Business acts as a liaison between College-level staff, student, administration and faculty, to fulfill the needs of the Office of the Associate Dean for Graduate Programs. This position is expected to support the administrative needs of the Graduate Programs staff, faculty, and students by working directly with vendors, business connections, guests, and College personnel. This position provides administrative support and serves as the office manager for the office.
Salary: $39,282 - $46,000
Minimum Qualifications: Graduation from a four year college or university and one year of program associate experience; or an equivalent combination of training and experience.
Essential Job Duties: Serving as the receptionist for the Graduate Programs Office located at the Dubois Center. Greeting and assisting visitors, including guests, faculty, staff, prospective and current students, community members, and other stakeholders. Managing the main Graduate Program’s phone line and email inbox. Coordination and scheduling of meetings and events. Supporting the delivery of both on and off-site educational programs, including room reservation/rental, editing and printing materials, overseeing catering orders, providing client and faculty support, and managing day-of-event logistics. Coordinating and hosting in-person and online sessions in support of the Graduate Programs Office. Providing support to employers for the Hire-A-Niner system. Purchasing. Travel processing. Managing office equipment. Administrative budget assistance.
Preferred Qualifications: Bachelor's degree. Prior experience working in higher education, particularly in the area of graduate education. Knowledge of policies and procedures in the area of purchasing and travel. Prior events coordination experience. Demonstrated ability to be proactive and self-motivated, with previous experience in a position that involved making informed decisions. Demonstrated attention to detail. Demonstrated capability in coordinating a wide variety of projects and tasks on a daily basis. Well-developed written and oral communication skills. Ability to work effectively with a diverse team. Ability to deliver high-quality customer service. Ability to manage priorities and requests from multiple constituencies.
