Job Overview

The Operations Coordinator supports all McCourt research faculty and staff in all campus locations. Primarily, and maintains the day-to-day operations and administration of the McCourt Research Enterprise office suite at the downtown 500 First Street location, although they also help coordinate support for research faculty and staff in other locations in DC and beyond.

At the 500 First Street location, The Operations Coordinator maintains a professional office environment and coordinates, oversees, and/or performs a wide variety of administrative and program support activities on behalf of the Research Support Services Team at McCourt. They serve as the initial point of operational and administrative contact for internal and external constituencies for the McCourt teams, and works closely with the Directors and Managers for Research Administration to ensure that the Research Enterprise needs and activities are well-supported. Duties include but are not limited to:
  • Manages office operations, including front desk duties, supply inventory, deliveries and mail distribution
  • Coordinates facility, environmental, and security services for office suite
  • Processes expense reimbursements for McCourt research faculty and staff, and ensures correct fund source and back-up documents
  • Helps develop and maintain on-boarding procedures and protocols for all research faculty and staff
  • Supports the recruitment, hiring and timekeeping of grant-supported student workers
  • Creates and revises systems and procedures by analyzing operating practices


Work Interactions

The Operations Coordinator - reporting to the Director, Research Finance and Administration, with a dotted line to the McCourt School Chief of Staff - interacts with all faculty and staff for the McCourt Research Enterprise in the office and remote, as well as all external visitors to the suite. In support of office equipment and environment, they interact with university support services departments, such as facilities, environmental services, mail room, etc., and use independent judgment to help maintain a professional work environment.

Qualifications
  • High School diploma or equivalency
  • 2 years of experience in office administration - - note: consideration will be given to equivalent combination of education and work experience
  • Good working knowledge of computer operations, with experience in the Microsoft Office Suite (Word, Excel, Power Point, etc.)
