POSITION SUMMARY:

CISAC is looking for a creative, motivated Communications and Administrative Associate who is excited to help support our work on International Security issues. The Associate will be involved in a wide range of communications and center administration projects. Reporting to the Associate Director of Finance and Administration, the Associate will
  • Coordinate and implement center communications, including website updates, social media posts, email marketing, research updates, and managing media requests.
  • Collaborate with other communications professionals at the Freeman Spogli Institute and Stanford.
  • Provide administrative support for CISAC Leadership, including managing calendars, overseeing meeting logistics, arranging travel, and processing expenses.
  • Work on human resources, grant writing, and outreach projects as required.

This is a full-time, hybrid position, with the expectation that the Associate will be in the office approximately three days a week. This is an excellent opportunity for recent college graduates with an interest in communications and business process, superb organizational skills, and a can-do, team-oriented attitude. Knowledge of international security issues is a plus but not required.

CORE DUTIES:
  • Assist in the implementation of and support program communication efforts, including timely creation and editing of marketing campaigns, websites, blogs, emails, and newsletters.
  • Assist others in identifying and developing campus news stories.
  • Assist in the production of content for the applicable university or unit websites; promote news stories to targeted regional, national, and international media.
  • Coordinate media relations, and ensure logistics and preparations are handled for media staff.
  • Act on behalf of the supervisor, department manager, or chair in regards to establishing priorities and identifying and resolving problems that are administrative in nature.
  • Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking. Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
  • Plan and schedule calendar(s) with limited consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • Create complex reports and spreadsheets which may utilize specialized software and systems.

MINIMUM REQUIREMENTS:

Education & Experience:

High school diploma and four years of administrative experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:
  • Demonstrated written and oral communication skills.
  • Demonstrated planning and/or project management and organizational skills.
  • Ability to be self-directed and take initiative.
  • Experience with social media platforms (Twitter, YouTube, Facebook)
  • Experience with website content management, Drupel preferred
  • Experience with email marketing eg. Mailchimp
  • Experience with design (Canva, Adobe Pro etc)
  • Interest in international security issues a plus


DESIRED QUALIFICATIONS:
  • Bachelor's degree and one year of relevant experience or combination of education and relevant experience


PHYSICAL REQUIREMENTS*:
  • Constantly perform desk-based computer tasks.
  • Frequently stand/walk, sit, use a telephone, grasp lightly/fine manipulation, speaking.
  • Occasionally grasp forcefully, writing by hand.
  • Rarely sort/file paperwork.
