St. Norbert College, a nationally-ranked, private, Catholic, liberal arts college is seeking an Administrative Assistant for Student Judicial Affairs. This position provides administrative support to the Director of Student Judicial Affairs to ensure the effective coordination of the Director’s activities and responsibilities. Such duties include: working with highly sensitive and confidential material, displaying outstanding verbal and written communication skills, and ability to use sound judgement. The administrative assistant plays an important role in a highly collaborative small team, located in a fast-paced work environment. This individual is also responsible for establishing a welcoming and inclusive office environment for students, families, and guests.
Specific responsibilities include:
Answer, screen, and direct telephone calls and/or emails and work with visitors of the Office. Schedule appointments and meetings for the Director. - 25%
Input data into the judicial database and ensure sanctions are accurate and not outstanding. Will require interface with Area Coordinators to ensure their sanction management accuracy. - 15%
Budget process: Prepare A/P check requests, process budget transfers, prepare monthly budget reports in Google Sheets and monitor the departmental budget with the Director. - 10%
Write judicial correspondence through creation of templates in judicial database and/or specific to the details of a situation which can require writing a letter from scratch. - 15%
Maintain accurate files, records, and documentation for easy and quick retrieval. - 15%
Prepare judicial board hearings through coordination of scheduling, paperwork, logistics, and setup before, during, and throughout the hearing. - 20%
Perform additional duties as assigned and attend College required training. Regular attendance is required. Work in a manner that is aware of personal safety and the safety of others and observes safety, health and sanitation codes, regulations, or practices required by the College or governmental authority.
Required Minimum Qualifications:
Experience and Credentials -
Demonstrated experience working in and fostering a diverse campus environment or commitment to do so as an employee of St. Norbert College.
1 year of experience working in residential life and health promotions.
4 or more years of experience in administrative support, preferably in a college setting.
Knowledge, Skills, and Abilities -
Ability to interact professionally with coworkers and customers, particularly in conflict situations.
Ability to talk politely and resolve customer service issues.
Ability to multitask, meet specific deadlines, and prioritize tasks and assignments.
Skilled in basic math computations such as addition, subtraction, multiplication, and division.
Knowledge of computer programs (Microsoft Office, Google Apps) and ability to learn upgrades and new programs as needed.
Ability to exercise good judgement and decisions in an expeditious manner.
Skilled at setting a good example for others.
Skilled at organizing events, programs, projects and seeing them through to completion.
Ability to maintain confidentiality of records.

Working Conditions -
During the academic-year, regular work hours are Monday - Friday, 8:00 am – 4:30 pm. During the winter break and summer, this position works 20 hours per week.
