Departmental Overview

University Development and Alumni Relations (UDAR) strengthens Berkeley's excellence through engagement with alumni, parents, undergraduate, and graduate students, and friends of the University, raising public awareness about Berkeley and increasing private philanthropy. UDAR provides overall direction for the campus' philanthropic advancement strategies and works to strengthen unit development in partnership with campus fundraisers. The Division handles a range of central activities and services encompassing communications, stewardship, prospect development, gift management, and more. Within this umbrella, the newly created Office of Alumni Relations works to inspire the lifetime engagement of Berkeley graduates through a highly specialized and coordinated approach that advances alumni towards increased involvement and greater giving. The Office of Alumni Relations serves as the university's first-ever hub for coordination of alumni programs across the university's schools, colleges, departments, and units, developing new initiatives, and working in collaboration with the independent Cal Alumni Association (CAA).

Position Overview

The Associate Director, Letters & Science Alumni Engagement uses advanced concepts and university objectives to resolve highly complex issues related to the engagement of the more than 200,000 living graduates of the UC Berkeley College of Letters & Science (L&S). The College of L&S comprises 86 undergraduate degree programs that enroll three-quarters of all undergraduate students at Berkeley and 57 graduate programs with over 2,500 students.

The Associate Director works in close partnership with the L&S Executive Dean, Deans, Chief Development Officers, the L&S Communications Director, and the UDAR Constituent Programs team to plan, develop, and implement alumni engagement strategies for each of the College's five academic divisions: Undergraduate Studies, Arts & Humanities, Mathematical & Physical Sciences, Biological Sciences, and Social Sciences. The Associate Director functions with a high degree of autonomy and provides oversight in direct management of programs, events, activities, and communications design to deepen alumni involvement and increase alumni philanthropy for L&S, including coordination of alumni and constituency groups that are typically complex or large and may include controversial and/or politically sensitive issues or content.

Reporting to the Executive Director, Alumni Relations, the Associate Director is a senior member of the Office of Alumni Relations team and is charged with creating the first-ever comprehensive alumni relations program for L&S by aligning resources and staff efforts across multiple divisions towards a clear set of engagement priorities as outlined in the campus-wide Alumni Engagement plan.

Responsibilities
  • Using institutional knowledge and awareness of alumni relations best practices, designs, develops, and implements short and long-term strategic plans, programs, events, communications, and activities for L&S. Delivers alumni activities in partnership with and through peers at the College and in UDAR that deepen alumni involvement and promote philanthropy as measured by the University's annual alumni engagement metrics report to the Council for the Advancement and Support of Education (CASE). Serves as an internal consultant to and engagement subject matter experts for the over one-dozen volunteer alumni donor boards at the College. Partners with L&S staff to plan board meetings; manage and recruit 200+ annual alumni volunteers.
  • Oversees all aspects of complex alumni external relations programs for L&S projects and events, including coordinating special programs and overseeing the production of audio/video or written and visual materials. Aligns efforts with the strategies and metrics outlined in the campuswide Alumni Engagement Plan. Develops and delivers, in partnership with the Associate Deans, Development, an annual relations plan that outlines discrete alumni engagement deliverables for each Division.
  • Plans and implements large-scale alumni events, including oversight of volunteers and recruits. Delivers, in partnership with L&S and UDAR staff, at least 10 discrete alumni activities per year, two per L&S Division, and 5 alumni engagement communications, one per L&S Division.
  • Quickly and appropriately identifies, addresses,and mitigates unforeseen and/or rapidly unfolding events that may negatively impact relationships between the campus and various constituencies, keeping senior management appropriately advised and notified.
  • Mentor less experienced staff members, including 4 full-time staff and two student assistants.
  • Analyzes, summarizes and/or reviews data, reporting findings, interpreting results and/or making recommendations. Delivers twice-yearly reports on alumni engagement activity to the Executive Dean and Associate Deans, Development, including information on the number of L&S alumni engaged via volunteering, events and experiences , and communications. Makes recommendations to management for growth targets in each engagement area.
  • Responds to alumni and other external constituent inquiries.

Required Qualifications
  • Advanced knowledge of the campus, its vision, mission, goals, objectives, achievements, issues of concern and infrastructure.
  • Advanced knowledge of undergraduate alumni relations and engagement best practices.
  • Advanced knowledge of issues of concern in higher education and alumni relations.
  • Advanced knowledge of practices and procedures associated with building and maintaining effective working relationships with all levels of alumni, internal and external constituencies.
  • Advanced written, verbal, and interpersonal communication skills, including skill to produce information that is appropriately presented and effectively received by target constituencies.
  • Active listening skills, including advanced critical thinking and analytical skills.
  • Skill to recognize potential areas of constituency concern and address, resolve and/or mitigate problems or issues.
  • Advanced project management skills, including skills to plan and implement successful events.
