POSITION TITLE: SPECIALIST, REGISTRATION
STATUS: Full Time

REPORTS TO: Assistant Registrar, and Registration Supervisor
PLACEMENT: Clerical, Grade 6
MINIMUM PAY RATE: $18.47 per hour

POSITION SUMMARY
Provides a variety of duties for the Registration and Records areas. Assists students with registration, verifies records in the system and updates as needed. Assists department with processing transcripts, resolves issues. Scans documentation. Provides information. A willingness to work at different locations is required.

ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES

1. Assist students with facilitating online and phone registrations within the enrollment center and work with Registration and Records to trouble shoot and resolve problems.

2. Identify, investigate, and resolve issues and processing errors regarding registration and records areas.

3. Assist instructors regarding grade changes, reinstatements when needed.

4. Assist military, local state, and governmental agencies on securing requested confidential student record documents when needed.

5. Enter, verify and register students using Colleague system and make necessary corrections.

6. Assist in maintaining semester registration files as well as processing transcripts for in person- requests.

7. Scan all registration documents.

8. Answer student questions related to registration and records, transcripts, grades, and record areas.

9. Cross-train in areas for transcripts, and records; assist with related duties in the records area when needed as well as work on special projects as directed by the Assistant Registrar, Registration Supervisor.

10. Perform other related duties as assigned.


MINIMUM QUALIFICATIONS

1. High School Diploma and one (1) year of college education.

2. Two (2) years of clerical experience.

3. Attention to detail, excellent organizational skills, initiative and multitasking ability.

4. Excellent decision and problem-solving skills.

5. Ability to work independently with a minimum supervision, handle routine and complex issues and assist in conflict resolution.

6. Ability and willingness to work cooperatively with a diverse community.

7. Knowledge of the college policies, procedures and courses as they relate to the student service areas.

8. Personal computer skills and knowledge of several software and web applications.

9. Willingness to learn videoconferencing and Internet access Experience in phone system, fax/printer/copy machines and scan machines.

10. Access to transportation and a willingness to work at different locations.

11. Excellent customer service and phone skills.

12. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

PREFERRED QUALIFICATIONS

1. Associate’s Degree Two years of experience in an educational environment.

2. English and Spanish verbal and written communication proficiency.

3. Demonstrated multicultural competence.

WORKING CONDITIONS

1. Duties are performed indoors in the usual office and/or outdoor environment.

Internal candidates must adhere to the terms of employment regarding length of time in current position as outlined in their union contract.
