Description The devil is in the details & this position would know it better than anyone! This is for someone up for a challenge related to compliance, details & cross checking. This position juggles all the student credits transferred in, ensuring credit approval, exceptions & degrees/certificates are approved. This may sound easy but when you are doing it for a fast-paced college who is growing leaps & bounds year after year, it is not for the weary. You will be busy & we need someone who has checks & balance systems in place to keep up. With an abundance of resources at your fingertips, problem solving all these transferred credits will be helping student’s get one step closer to completion!

Job Summary:
The Assistant Registrar assists the Registrar in ensuring the integrity of student academic records and the fair, knowledgeable application of related academic policies.  The Assistant Registrar is expected to handle multiple responsibilities, solve complex problems, and ensure that systems and processes meet service expectations.  This includes processing transfer of credit evaluations, prior learning assessments, and credit by examinations; maintaining DegreeWorks functionality for online registration and degree audits; maintaining the course schedule; assisting students, preparing transcripts, and ensuring FERPA compliance at all times.

Quick Glance of Duties and Responsibilities:

  1. Responsible for the evaluation of transfer credits in compliance with college approved guidelines and ensures the integrity and efficiency of the evaluation process.
  2. Evaluates and makes independent decisions on transfer of credit for programs of study and coordinates with academic departments where subject matter expertise is required.
  3. Performs schedule maintenance: course creation/cancellation; scheduling classrooms; coordinating with academic leads, advisors, and business office staff for schedule accuracy.
  4. Makes independent decisions on scheduling and reserving academic rooms for courses and events in Banner and EMS room scheduling software.
  5. Monitors academic grade submission and works with appropriate departments to ensure timely and accurate grade and attendance entry.
  6. Assists with maintenance of DegreeWorks, including program scribing, processing student exceptions, and certifying student eligibility for graduation.
  7. Assists with the evaluation and certification of students for graduation according to federal and college approved guidelines and provides active assistance to ensure the correct and timely production of degree requests.
  8. Stays abreast of changes in federal and state policies that impact institutional and departmental procedures.
  9. Assists faculty and staff to follow records procedures for full compliance with state, federal and college policies and reports non-compliance to the Registrar.

 Education, Experience, Knowledge & Skills Needed:

  • Bachelor’s Degree, required.
  • Minimum 2 years’ experience in higher education, preferred. Experience in an academic records office, human resources, compliance and/or regulatory experience, preferred
  • Familiarity with the Family Educational Rights and Privacy Act (FERPA), preferred. The ability to maintain confidentiality is essential.
  • Knowledge of Banner, Student Services software, is preferred.
  • Effective problem-solving, and analytical skills employed with sound judgement.
  • Excellent verbal & written communication and interpersonal skills – must be able to work with students, technical and administrative personnel in a pleasant, professional, and efficient manner.
  • Detail oriented with strong organizational skills.
  • Proficient knowledge of Outlook, Word and Excel are required.
  • Must be able to work in a multi-tasked, high-volume environment, completing multiple and competing priorities.


Pay Rate: $20.50/hr
Schedule: M-F, 8a-5p typically;  NCAT Campus
