Sponsored Projects Specialist - Subawards
Johns Hopkins University Research Administration is seeking a Sponsored Projects Specialist - Subawards. This role is the first point of contact for subawards triage process for departmental workflow actions.

Specific Duties & Responsibilities:
  • Triage incoming new subaward requests for completion of required documentation.
  • Support with first draft for out-year actions on active subawards.
  • Support the Associate Director with ad hoc inquiries related to subaward support documentation.
  • Monitor new incoming requests for coordination at weekly open actions team meeting.
  • Coordinate subaward reporting and data entry in several JHU and federal databases.
  • PO creation and updating, FFATA entry, visual compliance screening, interface with SPSS and SAP, Oculus uploads, and management of fully executed documents.
  • Monitor and conduct follow up with subaward activities such as status on agreement actions with subrecipients. Perform close out activities. Participate on process improvement projects to enhance the efficiency of the subaward environment.
  • Triage incoming subaward requests for completion of all required documentation.
  • Create first draft out-year actions.
  • Independently approve purchase orders to encumber the subaward within the supply chain and accounting systems.
  • Use the various electronic systems used for subaward administration (e.g. SAP, SharePoint, Access).
  • Recommend and enhance procedures, and administratively coordinate implementation of new or modified systems.
  • Use Excel and University systems to create periodic sponsored projects activity reports as well as other ad hoc reports as needed.
  • Assist with conversion of paper processes into a comprehensive electronic records system.
  • Other duties as assigned.


Minimum Qualifications (Mandatory):
  • High School Diploma/GED required.
  • Five years of related administrative experience required.
  • Bachelor's Degree preferred.
  • Additional education may substitute to the extent permitted by the JHU equivalency formula.*


* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Special Knowledge, Skills & Abilities:
  • Demonstrated experience with budget/pre-award process preferred. Must be detail-oriented, well-organized, and able to handle multiple projects in a deadline driven environment.
  • Intermediate knowledge of Excel required.
  • Must demonstrate excellent verbal and written communication skills.
  • Experience with Coeus and SAP software a plus.

Starting Salary Range: $20.02 - $27.51/hr (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
